Summary

Position Overview
The Duty Manager is responsible for ensuring smooth day-to-day operations. This role serves as the first point of contact for tenants and vendors while ensuring the site is well-maintained, compliant, and customer-focused.
Key Responsibilities
1. Operations & Site Management

  • Oversee daily site operations and ensure seamless functioning.
  • Coordinate with housekeeping, security, engineering, and other service providers.
  • Ensure strict adherence to Standard Operating Procedures (SOPs).
  • Conduct routine inspections of the premises to ensure cleanliness and upkeep.
2. Tenant & Client Relations
  • Act as the primary contact for tenants/licensees during the shift.
  • Address tenant concerns, complaints, and requests promptly.
  • Build and maintain professional relationships with tenants and escalate issues when required.
3. Staff Supervision & Coordination
  • Monitor and guide on-ground staff performance during the shift.
  • Ensure manpower deployment as per operational requirements.
  • Conduct staff briefings and debriefings at the start and end of shifts.
4. Safety & Security
  • Enforce safety and security protocols at all times.
  • Coordinate with security teams on access control, patrols, and incident response.
  • Record, report, and escalate any accidents, incidents, or emergencies.
5. Maintenance & Facility Management
  • Report and follow up on all maintenance and repair issues.
  • Coordinate with technical teams and vendors for timely rectifications.
  • Monitor adherence to preventive maintenance schedules.
6. Reporting & Documentation
  • Prepare daily activity, inspection, and incident reports.
  • Maintain updated logs for complaints, breakdowns, and rectifications.
  • Share proper shift handover notes for smooth continuity.
Shift Responsibilities (Applicable to All Duty Managers)
  • Check emails and follow up with vendors for complaint closure.
  • Attend vendor staff briefings and verify manpower attendance.
  • Authorize General and Height Work Permits.
  • Conduct daily rounds of campus, washrooms, basements, terraces, and other common areas.
  • Share scheduled inspection reports (staircases, stores, ramps, etc.).
  • Participate in daily shift briefings and coordinate operational tasks.
  • Verify vendor reports, log complaints in Asset Infinity, and ensure timely closure.
  • Provide logistical and operational support for promotional activities, food & lifestyle events, licensee programs, and in-house initiatives.
  • Assist with fire drills, pest control, assembly area setup, and manpower arrangements.
  • Support licensee fit-outs, material movement, and operational requirements.
  • Supervise canteen hygiene and medical center operations.
  • Address issues related to animals, birds, or reptiles within the premises.
  • Monitor facade leakages and report promptly.
  • Distribute festive gifts and support engagement activities.
