Job Summary:
The Documents Controller is responsible for managing and maintaining accurate records and documents related to the electrical department's projects, operations, and regulatory compliance. This role ensures proper organization, accessibility, and confidentiality of all documentation, contributing to efficient departmental workflows and adherence to government standards.
Key Responsibilities:
Maintain and control the flow of project documentation (technical drawings, plans, vendor documents, RFIs, material submittals, method statements, etc.)
Coordinate with departments including Engineering, Procurement, Quality, Safety, and Project Execution to ensure proper documentation
Ensure all documents are correctly filed, version-controlled, and easily accessible in both electronic and hard copy formats
Regularly update document logs, registers, and trackers for ongoing projects
Implement and follow document control procedures as per ISO/Project standards
Assist in audits and compliance checks by maintaining complete, accurate document records
Distribute documents to internal teams and external stakeholders (consultants, contractors, clients) as required
Ensure timely retrieval and submission of critical project documents
Train team members on document control systems and best practices
Qualifications:
Bachelor's degree /Diploma, or a related field.
3-8 years of experience in document control in the power/EPC/project-based industry.
Familiarity with project documentation for electrical/mechanical/civil departments.
Strong understanding of document numbering systems and file naming conventions.
