This includes the collection, verification, and systematic maintenance of organizational records in both physical and digital formats. The role demands a high level of attention to detail, strong organizational skills, and effective coordination with internal departments as well as external stakeholders to ensure the smooth flow of documentation activities.
Key Responsibilities
Document Collection & Verification:
Collect, verify, and organize all required documents such as records, client files, agreements, certificates, and operational reports. Ensure the accuracy, completeness, and authenticity of all documents. Provide documentation support in the concerned domain of work, whether it pertains to placement, application, or any other relevant area.
Record Keeping & Data Entry:
Maintain a systematic filing system (both physical and digital) to ensure easy accessibility and efficient retrieval of records whenever required. Keep databases and documentation repositories up to date with accuracy and consistency.
Compliance & Confidentiality:
Ensure that all documentation processes comply with organizational policies, quality standards, and statutory requirements. Maintain the highest level of confidentiality and security while handling sensitive or confidential information. Adhere strictly to data protection and privacy norms.
Documentation & Reporting Support:
Assist in preparing and organizing documentation and reports required for management reviews, audits, and operational assessments. Support various departments in compiling data and generating structured documentation for official use.
Problem Solving:
Identify and resolve documentation-related issues promptly, including missing papers, mismatched records, or delays in dispatch. Take proactive measures and provide practical solutions to ensure seamless documentation workflow and operational efficiency.
Qualification Required
Bachelor's degree in
Business Administration, Commerce, Management
, or any related field.
Minimum
1-3 years of experience
in documentation (experience in any industry or field will be considered).
Skills Required
Strong attention to detail with excellent organizational and coordination abilities.
Good typing speed with a high level of accuracy.
Excellent communication skills (both verbal and written) in English.
Proficiency in
MS Office applications
(Word, Excel, Outlook).
Ability to multitask, prioritize responsibilities, and meet deadlines efficiently.
High level of integrity, professionalism, and confidentiality in handling sensitive documentation.
