The Document Writer Executive is responsible for the meticulous preparation, drafting, verification, and timely processing of all legal, sales, and statutory documentation related to plot and unit sales. This role is crucial for ensuring the smooth and legally compliant transition from customer booking to final property registration.
Key Responsibilities
A. Document Drafting & Preparation
Sales Documentation:
Draft all primary sales documents, including Offer Letters, Agreement for Sale, Sale Deeds, and Tripartite Agreements, ensuring accuracy and alignment with approved templates and terms.
Statutory Compliance:
Prepare and verify documentation required for securing
No Objection Certificates (NOCs)
, securing
APF (Approved Project Finance)
, and other necessary approvals for customer registration.
Customer-Specific Paperwork:
Customize and prepare necessary legal affidavits, declarations, and indemnity bonds based on individual customer requirements and financing structures.
Template Management:
Maintain and update a centralized library of all legal and sales document templates, ensuring they reflect the latest RERA guidelines and company legal advice.
B. Verification & Processing
Verification:
Review and verify all client KYC documents (Aadhaar, PAN, Passport, etc.) and supporting financial documentation (loan sanction letters) to ensure validity and completeness prior to processing.
Registration Coordination:
Coordinate with the Sub-Registrar Office, Legal Counsel, and the Finance team to schedule, execute, and complete the final property registration process efficiently.
Stamp Duty & Tax:
Calculate accurate stamp duty, registration fees, TDS, and other statutory charges for each transaction and ensure timely payment and documentation.
Filing & Archival:
Maintain a systematic physical and digital filing system for all executed documents, contracts, and legal correspondences.
C. Inter-Departmental Liaison
Sales Team Support:
Serve as the primary point of contact for the Sales Team regarding documentation requirements, resolving queries on legal clauses, and accelerating the flow of paperwork.
Legal Counsel:
Liaise with the company's legal counsel for periodic review of standard clauses, clarification on complex legal issues, and vetting of non-standard contracts.
Finance & MIS:
Work closely with the Finance and MIS teams to reconcile documentation status against payment schedules and collections data.
Required Skills & Qualifications
Education:
Bachelor's degree in Commerce, Law (LLB preferred), or a related field.
Experience:
Minimum 1 year of dedicated experience in legal documentation, sales administration, or documentation processing, preferably within the
Real Estate or Banking/NBFC sector.
Legal/Statutory Knowledge:
Working knowledge of
RERA rules
, basic stamp duty and registration processes, and standard legal terminologies used in property conveyance.
Technical Expertise:
Highly proficient in MS Word (drafting and formatting), MS Excel (data tracking and calculations), and managing digital document flow.
Key Competencies:
Impeccable attention to detail, strong organizational skills, ability to manage high-volume paperwork under strict deadlines, and clear written communication.
