A Document Specialist manages, organizes, creates, and maintains accurate, compliant, and accessible company records (digital & physical), ensuring adherence to policies and regulations, often involving review, version control, template creation, data security, and collaborating across departments for streamlined workflows and information access, vital for operational efficiency and quality assurance. Key duties include editing/formatting, handling data storage, training staff, and managing document lifecycles, requiring strong attention to detail, communication, and technical skills.
Key Responsibilities
Document Creation & Management: Draft, review, edit, format, and update various documents (reports, SOPs, technical docs) for clarity, accuracy, and consistency.
Organization & Storage: Maintain electronic and physical filing systems, manage version control, and oversee secure storage of critical data.
Compliance & Standards: Ensure all documentation meets internal standards, data privacy rules, and external regulatory requirements (e.g., legal, industry-specific).
Collaboration: Work with legal, IT, engineering, and other teams to gather requirements, update processes, and resolve document-related issues.
Workflow Optimization: Develop templates, style guides, and implement best practices to streamline document processes.
Access & Retrieval: Act as a point of contact for locating specific documents and training users on retrieval.
Auditing & Reporting: Participate in internal/external audits and analyze document data for reports. Essential Skills & Qualifications
Hard Skills: Proficiency with DMS (Document Management Systems), Microsoft Office Suite, data entry, strong typing/transcription, potentially design/technical writing tools.
Soft Skills: Meticulous attention to detail, excellent written/verbal communication, organizational skills, time management, analytical abilities, problem-solving.
