Key responsibilities include scanning, uploading, and filing documents (both digital and physical), checking for accuracy, tracking revisions, maintaining document control software, and facilitating seamless access and communication across departments. This role requires strong attention to detail, organizational skills, and familiarity with document management systems and regulatory compliance. Key Responsibilities
Document Management: Overseeing the intake, processing, and storage of all organizational documents.
Data Entry & Accuracy: Scanning, photocopying, and typing documents, as well as checking them for accuracy and completeness.
Organization & Filing: Creating and maintaining efficient filing systems for both electronic and hard-copy documents.
Access & Retrieval: Ensuring authorized personnel can easily access necessary documents and managing document workflows.
Software & Systems: Utilizing document management software to upload, store, and track files.
Compliance & Security: Ensuring document storage complies with company policies, regulatory standards, and information security protocols.
Archiving & Disposal: Managing the safe and secure archiving and disposal of documents when they are no longer needed.
Communication: Facilitating effective communication across departments by ensuring everyone has the right versions of documents.
Reporting & Auditing: Preparing documents for audits and generating reports as required. Required Skills & Qualifications
Attention to Detail: Meticulous and detail-oriented to ensure document accuracy and compliance.
Organizational Skills: Strong ability to organize large volumes of information and manage files effectively.
Technical proficiency: Familiarity with document management software and electronic data management systems (EDMS).
