We are seeking a detail-oriented and organized Document Controller to join our dynamic team in Mumbai, India. In this crucial role, you will be responsible for establishing and maintaining efficient document management systems, ensuring the accuracy and accessibility of critical project information.
Establish and maintain a comprehensive library of reference documents, adhering to company quality standards and record-keeping procedures
Develop and implement effective document cataloging, filing, and retrieval systems for both physical and digital documents
Prepare and distribute project correspondence, meeting minutes, and reports in a timely manner
Assist project managers and directors in preparing operations manuals and job data books
Manage the document lifecycle, including cataloging, packing, and long-term storage or disposal of engineering documents at project closeout
Create and maintain computerized indexes for active engineering documents, generating reports as needed
Implement and oversee data distribution systems based on client, project, and supplier requirements
Collaborate with project teams to ensure smooth information flow and document accessibility
Conduct regular audits of document control processes to identify areas for improvement and implement efficient solutions
Assist with office administration duties, including maintaining inventory of office furniture and equipment
Qualifications
Bachelor's degree in Business Administration, Information Management, or a related field
Proven experience as a Document Controller or in a similar role within a project-based environment
Proficiency in document management systems and Microsoft Office Suite, particularly Excel for reporting
Strong knowledge of filing, cataloging, and data distribution systems
Familiarity with quality standards and record-keeping procedures in a corporate setting
Experience with database management and data entry
Understanding of project management processes and document control best practices
Ability to maintain confidentiality and handle sensitive information with discretion
Proactive approach to problem-solving and process improvement.
