Document Controller

is responsible for the professional management, organization, and distribution of a company's documents, both electronic and hard copy. They ensure the integrity, accuracy, accessibility, and compliance of critical records throughout their lifecycle.

Core Responsibilities and Duties



A Document Controller's job description on the following key areas:

1. Document Management and Control



Organization and Filing:

Receive, log, number, file, scan, and store all project or company documents (e.g., contracts, drawings, specifications, reports) in a systematic manner in the PC and/or physical archives.

Version Control:

Maintain and monitor document revisions, ensuring that only the

current, approved version

is active and accessible, while older versions are securely archived for reference and audit purposes.

Distribution and Flow:

Manage the timely and correct distribution of documents to internal teams, external parties, and stakeholders, often using transmittals or a controlled system.

Quality Check:

Review documents for completeness, correct formatting, accurate referencing, and adherence to established naming conventions and procedures before official issuance.

2. System and Procedure Maintenance



System Administration:

Set up, maintain, and manage the document control system, including user access rights and security protocols.

Process Implementation:

Develop, update, and enforce the company's document control procedures and workflows to ensure consistency and compliance across all departments.

Archiving and Retention:

Oversee the proper archiving and secure, compliant disposal of documents at the end of their required retention period.

3. Communication and Support



Information Retrieval:

Quickly retrieve and provide requested documents to employees, clients, or auditors upon request.

Reporting:

Prepare and issue document status reports, registers, and logs to management or project teams.

Training:

Provide support and training to staff on correct document control procedures.

Confidentiality:

Maintain the security and confidentiality of all sensitive and proprietary information.

Exceptional Organizational Skills:

Ability to manage large volumes of data and physical files with meticulous attention to detail.

Strong working knowledge of Microsoft Office Suite (especially Excel and Word).

Qualifications



While formal qualifications vary, a Degree in

Business Administration, Information Management,

or a related field is often preferred. Prior

proven work experience

in a document control or similar administrative role is generally required. Knowledge of industry-specific standards and regulations (e.g., ISO) related to document management may also be necessary depending on the sector.
