The Document Controller will be responsible for managing, organizing, and maintaining student application files, visa-related paperwork, and institutional correspondence. The role ensures that all student and company documents are accurate, up to date, properly stored, and easily accessible for processing and compliance.
Key Responsibilities:
Collect, verify, and manage all student application documents, including academic records, passports, financial statements, and supporting certificates.
Review and ensure accuracy of documents as per university and embassy requirements.
Maintain both physical and digital records of student files, keeping them updated and well-organized.
Coordinate with students and parents to obtain missing or additional documents within set deadlines.
Track visa filing timelines and ensure required documents are submitted on time.
Liaise with admission officers, universities, and partner institutions regarding document requirements.
Ensure confidentiality and compliance with data protection regulations.
Prepare reports on pending and completed document submissions for management review.
Support the admissions/counseling team in preparing files for VFS, embassy submissions, and university applications.
Requirements:
Bachelor's degree
Prior experience in documentation or administrative support (experience in overseas education/immigration sector preferred).
Strong organizational and record-keeping skills.
Attention to detail and ability to identify document discrepancies.
Proficiency in MS Office and document management systems.
Excellent communication skills (English, Malayalam; German/Hindi is an added advantage).
Ability to work under deadlines with minimal supervision.
