The Dispatch Supervisor oversees and coordinates the timely dispatch of PEB materials, structures, and components from the manufacturing facility to project sites. This role ensures accuracy in loading, documentation, transportation planning, and communication with clients, logistics partners, and internal teams to achieve on-time delivery with optimal cost and safety.
Plan daily dispatch schedules based on production plans, project priorities, and delivery deadlines.
Coordinate with production, quality, and project teams to ensure materials are ready for dispatch.
Allocate vehicles based on load requirements, material sizes, and site conditions.
2. Loading & Material Handling
Supervise loading activities to ensure materials are loaded securely and as per dispatch lists.
Verify weight, quantity, and packaging of PEB components prior to loading.
Ensure adherence to safe loading practices and compliance with transport regulations.
3. Documentation & Compliance
Prepare and verify dispatch documents (DC, e-way bills, packing lists, challans, invoices).
Ensure proper documentation for inter-state shipments, GST compliance, and RTO regulations.
Maintain accurate records of dispatched materials in ERP systems.
4. Coordination With Transporters
Liaise with transport agencies for vehicle availability, negotiation, and tracking.
Monitor vehicle movement to ensure on-time delivery at project sites.
Resolve issues related to vehicle breakdowns, delays, or route constraints.
5. Team Leadership & Supervision
Lead and supervise loading staff, forklift operators, and dispatch assistants.
Conduct training on safety procedures, loading techniques, and documentation accuracy.
Manage shift planning, attendance, and performance of the dispatch team.
6. Communication & Stakeholder Management
Serve as a key point of contact for project teams regarding dispatch plans and updates.
Provide timely communication to clients regarding dispatch status and expected delivery timelines.
Coordinate with the site team for unloading instructions and material clarity.
7. Inventory & Resource Management
Coordinate with the stores team to ensure availability of finished goods for dispatch.
Monitor yard management, vehicle movement area, and loading bay utilization.
Identify and escalate material shortages or discrepancies.
8. Continuous Improvement
Implement process improvements to reduce dispatch delays and optimize logistics costs.
Track KPIs such as on-time dispatch rate, loading accuracy, and vehicle utilization.
Support audits related to logistics, safety, and compliance.
Qualifications & Requirements
Bachelor's Degree / Diploma in Logistics, Supply Chain, Mechanical, or related field.
3-7 years of experience in dispatch/logistics, preferably in PEB, steel structures, or manufacturing.
Strong knowledge of PEB components and dispatch handling requirements.
Familiarity with ERP systems (SAP / Oracle / MS Navision / Tally).
Good understanding of transport regulations, GST/e-way bills.
Excellent communication, leadership, and problem-solving skills.
Ability to work under pressure and meet strict deadlines.
