The Dispatch Executive will be responsible for coordinating, monitoring, and executing the timely dispatch of goods. This role ensures accurate order processing, proper documentation, smooth coordination with warehouse and transport teams, and adherence to company SOPs for efficient and error-free dispatch operations.
Key Responsibilities1. Order Processing & Coordination
Receive and verify customer orders from the internal system.
Coordinate with the warehouse team to ensure accurate picking and packing of orders.
Prioritize orders based on delivery schedules and urgency.
2. Dispatch Planning
Prepare daily dispatch schedules for local and outstation deliveries.
Allocate vehicles and coordinate with transport vendors for timely pickups.
Ensure optimal route planning to reduce delays and logistics costs.
3. Documentation & Record Management
Prepare and maintain dispatch documents such as invoices, challans, e-way bills, and delivery notes.
Ensure proper record-keeping of dispatched items, quantities, transport details, and customer information.
4. Communication & Coordination
Coordinate with transporters, drivers, and field teams to track vehicle movement.
Communicate dispatch status to sales teams, customers, and internal departments.
Resolve any delivery-related issues or discrepancies promptly.
5. Quality & Compliance
Ensure all dispatch activities follow company SOPs, quality standards, and compliance requirements.
Verify packaging quality, labeling, and product accuracy before dispatch.
Report any discrepancies, damages, or stock shortages to the concerned team.
6. Tracking & Reporting
Maintain daily MIS reports on orders dispatched, pending, or delayed.
Track delivery status and ensure proof of delivery (POD) collection.
Monitor transporter performance and highlight deviations.
Skills & Competencies
Strong understanding of logistics, dispatch operations, and documentation.
Good communication and coordination skills.
Ability to multitask and handle urgent requirements.
Basic computer knowledge (Excel, ERP, Tally, or any dispatch management software).
Problem-solving ability and attention to detail.
Qualification & Experience
Education:
12th pass / Graduate (preferred).
Experience:
1-3 years in dispatch, logistics, warehouse operations, or related fields.
Experience in FMCG, retail, e-commerce, or supply chain is an advantage.
Working Conditions
On-site role with coordination between warehouse, transporters, and office.
May require extended working hours during high-demand periods.
