Key Responsibilities:
Dispatch Management:
Plan and execute dispatch schedules based on customer orders, production readiness, and logistics timelines.
Coordinate with the
production, stores, and sales teams
to ensure goods are ready for dispatch.
Supervise the loading, packaging, and movement of machinery and spare parts.
Export & Import Invoicing:
Prepare and verify all documents for
domestic and international dispatch
, including:
Commercial Invoices
,
Packing Lists
,
E-way bills
,
Delivery Challans
For exports:
Proforma Invoices
,
Shipping Bills
,
ARE-1
,
Bill of Lading
, etc.
Ensure all documents are compliant with
GST
,
customs
,
DGFT
, and
incoterm
regulations.
Coordinate with freight forwarders, CHA, and banks for export documentation and shipment tracking.
System & Record Management:
Maintain accurate records of all dispatched materials, invoices, and shipment documentation.
Update ERP systems with dispatch and invoice details.
Support internal audits and ensure document readiness for compliance checks.
Coordination & Reporting:
Track and monitor shipment status and provide timely updates to internal teams and customers.
Liaise with transporters for cost negotiation and timely pickups/deliveries.
Generate dispatch and invoicing reports for internal tracking and performance analysis.
Qualifications:
Graduate in
Commerce
,
Logistics
,
Business Administration
, or a related field.
Diploma/Certificate in
Export-Import Management
,
Logistics
, or
Materials Management
is preferred.
2-5 years of experience in dispatch coordination with exposure to
export/import invoicing
in a manufacturing company.
Skills & Competencies:
Sound knowledge of
dispatch operations

logistics planning
, and
export-import documentation
.
Familiarity with
GST

e-Way Bills
, and
customs procedures
.
Proficient in
MS Excel
,
ERP software
(SAP, Oracle, Tally, or similar).
Strong coordination, communication, and time-management skills.
Detail-oriented with the ability to handle documentation under tight deadlines.
