The Dispatch Assistant is responsible for managing all domestic and export dispatch activities, including picking, packing, documentation, and coordination with transporters, freight forwarders, and internal teams. The role ensures accurate, timely, and compliant dispatch of finished goods in accordance with customer requirements, statutory regulations, and company SOPs.
2. Key Responsibilities
2.1 Domestic Dispatch Responsibilities
Pick and stage finished goods as per dispatch plan or customer order.
Verify correct quantity, batch numbers, MRP, and packaging conditions.
Support safe loading of vehicles and verify vehicle readiness.
Prepare domestic dispatch documentation, including:
Delivery Challan
Invoice
E-way Bill
Transporter docket
Gate pass
Maintain dispatch registers, ERP entries, and daily dispatch reports.
Follow FIFO/FEFO during stock issuance.
Communicate with transporters, sales team, and internal departments to ensure on-time dispatch.
2.2 Export Dispatch Responsibilities
Coordinate with export department, CHA (Custom House Agent), and freight forwarders.
Assist in preparing or verifying export documentation such as:
Commercial Invoice
Packing List
HS Code details
Shipping Bill
Bill of Lading / Airway Bill
Certificate of Origin (if applicable)
Fumigation/Phytosanitary certificates (if required)
Ensure export packing standards:
Export-worthy cartons
Palletization
Shrink-wrapping
Container loading safety
Check container cleanliness, dryness, and suitability before loading.
Assist in loading container cargo as per packing plan.
Confirm export batch details, gross/net weights, and carton counts.
Maintain export stock register and ensure proper segregation of export vs domestic material.
Coordinate with QA for export sample clearance and documentation.
2.3 Stock Management
Support daily, weekly, and monthly stock verifications.
Report shortages, damages, leakage of oil products, or discrepancies.
Maintain clean, organized staging, loading, and storage areas.
2.4 Coordination & Communication
Liaise with Sales, Production, QA, and Export Documentation teams.
Update internal teams on dispatch status, transporter arrival, container placement, and shipment delays.
Support dispatch planning and scheduling activities.
3. Qualifications & Requirements
10th / 12th pass or Diploma in Logistics/Warehouse Management.
1-3 years experience in warehouse or dispatch roles.
Experience in FMCG/cosmetics/hair oil manufacturing preferred.
Basic knowledge of export documentation and domestic dispatch formats.
Familiarity with ERP systems or MS Excel.
Ability to safely handle loading/unloading operations.
