The Diamond Inventory Executive is responsible for
accurate tracking, control, reconciliation, and movement of diamond inventory
across all stages--receipt, storage, issue, transfer, and dispatch. The role demands a
highly alert, detail-oriented, energetic, and proactive professional
who can safeguard high-value inventory while supporting smooth operational flow.
2. Key ResponsibilitiesA. Inventory Management & Control
Maintain
100% accurate physical and system inventory
of diamonds (rough, polished, loose stones, mounted pieces, etc.).
Record and monitor
inward, outward, transfers, returns, and stock adjustments
on real-time basis.
Ensure
proper tagging, labeling, coding, and segregation
of diamond lots.
Conduct
daily stock updates
, batch-wise tracking, and lot reconciliation.
Identify discrepancies immediately and
proactively resolve stock mismatches
.
B. System & Documentation
Update inventory details in
ERP / inventory software / Excel trackers
with precision.
Prepare and maintain:
Stock registers
Movement logs
Issue & return slips
GRNs and dispatch records
Ensure
audit-ready documentation
at all times.
Coordinate with accounts for stock valuation and reconciliation.
C. Physical Verification & Audit Support
Perform
daily, weekly, and monthly physical stock counts
.
Assist internal and external auditors during audits.
Ensure
zero tolerance for unexplained stock variance
.
Investigate root causes of shortages/excess and recommend corrective actions.
D. Coordination & Operations Support
Coordinate with:
Production / Sorting / Grading teams
Sales & Dispatch teams
Accounts & Compliance departments
Ensure timely availability of diamonds for production and dispatch.
Support urgent requirements with
quick turnaround and ownership mindset

E. Security, Compliance & Risk Control
Follow
strict security protocols
for handling high-value diamonds.
Ensure inventory movements follow
company SOPs and approval hierarchies
.
Maintain confidentiality of stock data and business-sensitive information.
Immediately escalate suspicious activity, loss, or irregularity.
F. Continuous Improvement & Proactiveness
Suggest improvements in inventory processes and controls.
Actively participate in
process automation, digitization, and efficiency initiatives
.
Demonstrate high ownership, energy, and commitment to zero-error operations.
3. Desired Skills & CompetenciesTechnical Skills
Strong understanding of
diamond inventory flow and valuation basics
Working knowledge of
ERP systems / inventory software
Advanced Excel skills (VLOOKUP/XLOOKUP, Pivot Tables preferred)
