The Deputy Manager - Warehouse is responsible for managing daily warehouse and logistics operations, ensuring smooth handling of inward, storage, and outward processes. The role demands strong coordination with production, purchase, transporters, and e-commerce partners to maintain efficient dispatch operations, accurate inventory management, and seamless system entries with cost and rate control.
Responsibilities
> Supervise inward receipts - verify quantity, quality, and documentation against purchase orders.
> Prepare GRN (Goods Receipt Note) and ensure correct ERP/system entries.
> Plan and manage storage, binning, and material issue to production as per order requirements.
> Oversee dispatch operations, ensuring timely loading, documentation (DC, invoice, e-way bill), and vehicle scheduling.
> Conduct daily stock verification, inward/outward register updates, and maintain daily activity reports.
> Follow FIFO / LIFO systems and ensure proper stock rotation.
> Monitor loading/unloading activities to minimize damage or loss.
> Maintain warehouse safety, housekeeping, and discipline standards.
Logistics & Transportation Management:
> Coordinate with transporters and courier partners for dispatch planning and on-time delivery.
> Manage vehicle allocation, route planning, and rate confirmation for local and upcountry deliveries.
> Verify freight bills and rate agreements with logistics partners before approval.
> Ensure vehicle tracking, delivery acknowledgment, and POD (Proof of Delivery) documentation.
> Handle reverse logistics for return goods and rejected materials.
> Liaise with accounts department for timely payment and freight settlement.
E-commerce Operations (Process by Process):
> Order Receiving: Receive daily order data from E-commerce portals (Amazon, Flipkart, Meesho, etc.) or internal ERP.
> Order Verification: Check order quantity, SKU, and customer address before processing.
> Picking: Allocate and pick products as per order sheet or barcode system.
> Packing: Ensure correct labeling, packing quality, and safety compliance.
> Invoice & Label Generation: Coordinate with the E-commerce system (portal/dashboard) to print invoices, labels, and manifest reports.
> Dispatch: Schedule pickups with courier partners or transport aggregators (e.g., Delhivery, XpressBees, DTDC).
> System Update: Update dispatch details in ERP/WMS and E-commerce portal for real-time tracking.
> Tracking & Delivery: Monitor shipment status, resolve delivery issues, and ensure customer confirmation.
> Return Handling: Manage RTO (Return to Origin) and reverse logistics systematically.
Reconciliation: Cross-check dispatched vs. delivered orders, and maintain daily shipment MIS.
Reporting & Coordination:
> Prepare daily, weekly, and monthly reports on inward, dispatch, and stock summary.
> Coordinate with Production, Purchase, Quality, and Accounts for operational alignment.
> Support management in cost analysis, product costing input, and performance reports.
> Participate in warehouse audits, physical stock verification, and variance reconciliation.
> Involve in new warehouse sourcing, layout planning, and process optimization.
Qualification & Experience: > Bachelor's Degree / Diploma in Logistics, Supply Chain, or related field.
> Minimum 10-12 years of experience in warehouse and logistics operations (preferably textiles or e-commerce).
> Strong experience in E-commerce dispatch handling, ERP/WMS, and logistics cost management.
> Knowledge of transport rate negotiation, courier coordination, and online shipping tools.
