Role Summary
Key Responsibilities
1. Calendar & Scheduling

  • Manage the CEO's daily calendar, ensuring efficient scheduling of internal and
external meetings.
  • Prioritize appointments and proactively resolve scheduling conflicts.
  • Prepare daily briefs to keep CEO updated on meetings and engagements.
2. Travel & Logistics
  • Plan, coordinate, and manage all aspects of domestic and international travel
including visas, flights, accommodation, and ground transportation.
  • Prepare detailed itineraries and ensure seamless execution of travel plans.
  • Process travel-related expense reports in a timely manner.
3. Meeting & Event Coordination
  • Organize leadership team meetings, Board meetings, and external events as
required.
  • Draft agendas, prepare supporting documents, and circulate minutes of
meetings.
  • Follow up on action items to ensure timely completion.
4. Communication & Correspondence
  • Draft, review, and manage emails, letters, and other communication on behalf of
the CEO.
  • Serve as a point of contact for internal teams and external stakeholders.
  • Maintain confidentiality of sensitive and business-critical information.
5. Office & Administrative Support
  • Manage day-to-day operations of the CEO's office, ensuring efficiency and order.
  • Handle documentation, approvals, filing, and record-keeping.
  • Liaise with HR, Admin, IT, and other departments for support as required.
  • Track and process invoices, reimbursements, and office expenses.
Qualifications & Experience
  • Bachelor's degree in Business Administration/Commerce/Arts or equivalent;
MBA/Executive Assistant certification is a plus.
  • 10-15 years of relevant experience in executive/administrative support,
preferably supporting CXOs in multinational or fast-paced environments.
  • Strong skills in MS Office (Word, Excel, PowerPoint, Outlook).
  • Experience in managing international travel, visas, and cross-border
coordination.

Educational Qualifications
Required Education Qualification: B.Sc
Required Experience: 12 - 20 years
