Deputy Manager - Facility & Operations
Key Responsibilities
1. Building Facilities, Snagging & Transitions
??Record snags, coordinate with Projects for rectification, and ensure timely closure.
??Inspect and monitor building services including lifts, HVAC, fire systems, water supply, power supply, and civil works.
??Track occupant complaints, ensure timely reporting, follow-up, and resolution.
??Escalate major/minor breakdowns immediately if they impact operations.
??Monitor facility performance and report on project CAPEX overruns.
2. Building Equipment Management
??Implement systems to ensure equipment remains in optimal working condition.
??Ensure PM/APM/Site Leads monitor equipment performance and preventive maintenance.
??Provide recommendations on equipment repair, replacement, or procurement.
??Issue service orders to contractors and monitor repair quality.
??Evaluate contractor service levels and compliance.
3. Audits & Trainings
??Conduct periodic EHS and Engineering audits through the audit team.
??Ensure audit findings are closed within agreed timelines.
??Organize regular site trainings on Engineering, Safety, and Compliance.
4. Vendor Management
New Vendors
??Liaise with contractors, collect quotations, and prepare cost comparisons.
??Recommend vendors for approval and monitor onboarding.
2. Existing Vendors
??Maintain and review vendor contracts and renewals.
Evaluate vendor performance and recommend improvements or replacements.
??Conduct monthly vendor review meetings and supplier evaluations.
5. Inventory Control
??Implement and monitor inventory control processes.
??Maintain stock levels as per approved limits.
??Review daily/weekly inventory in-out records prepared by site teams.
??Prevent stock shortages, overstocking, and obsolescence.
6. Systems & Procedures
??Adapt company systems and SOPs to site requirements.
??Implement internal processes, ensure training, and compliance adherence.
7. Health, Safety, Security & Environment (HSSE)
??Conduct risk assessments for all site activities.
??Implement Permit to Work (PTW) and safe work systems.
??Ensure HSSE training, compliance, and awareness.
??Maintain accident logs and incident registers.
??Promote zero-incident workplace culture.
8. Engineering Management
??Coordinate with Site Leads/APMs/PMs to prepare and implement PPM schedules.
??Review engineering operations and maintenance reports.
??Ensure engineering system safety, reliability, and statutory compliance.
9. Team Building & People Management
Ensure site team competency, motivation, and productivity.
Manage manpower planning, hiring coordination with HR, and leave approvals.
Conduct performance reviews, coaching, and capability development.
10. Reporting & MIS
??Ensure Monthly Management Reports (MR) submission before the 10th of every month.
??Ensure timely submission of daily and weekly operational reports.
??Finalize and monitor the 52-week PPM calendar.
??Monitor facility performance metrics and project cost overruns.
