Job Summary
The Data Operations Senior Analyst will play a critical role in optimizing and maintaining the integrity of financial data within BP Business Sol (HC). This position involves maximising analytical skills and digital automation to ensure efficient accounting processes, robust internal controls, and accurate financial reporting, ultimately supplying to informed business decisions.
Job Responsibilities
o Receive and process requests for business records access/ add new records.
o Receive and process requests from business for secure waste bin changeover.
o Receive and process requests from the business for user and project folder structure setup within the Viewpoint software solution.
o Assist with upload of digital documents into Viewpoint Project folders.
o Recommends remediation actions as the need arises.
o Assist with training on BP information management systems as required.
o Provide research services for the business (mainly BP Legal & HR) for records relating to current litigation and HR matters etc.
o Work with the Information Manager and external Records Management supplier to ensure that records systems (RMS) at both BP and supplier are aligned and updated as the need arises.
o First level liaison for the RMS system with external support organisation INFOSYS and VIEWPOINT (Trimble Constructions)
o Maintenance and access control of the Records Management Team's SharePoint site
o Work with the Information Manager on the Records Retention program
o Maintenance of the RMS and Viewpoint systems data
o Incoming mail services receipt and processing
o Liaison with BP's off-site storage providers regarding any physical records for between BP and providers Iron Mountain for AUS & The Information Management Group (TIMG) in NZ
o Provide first level advice on archiving services to BP business units as required
o Upload initial project documents into the appropriate folder structures
o System upgrade testing as required
What you will deliver
o Information Governance :
o Ensuring that the systems used for the management of records are accurately reflecting BP's operational and corporate records.
o Ensuring business records are assigned retention periods to ensure records are held only for the period allowed under ANZ law.
o Assist the business in the creation and delivery of digital records solutions
o Collaborator Management :
o The systematic identification, analysis, management, monitoring and improvement of collaborator relationships in order to target and improve mutually beneficial outcomes.
o Customer Support - Acting as a point of contact to support service users and customers reporting issues, requesting information, access, or other services.
o Operational Excellence - Has a sound understanding of process and workflow streamlining, problem resolution and organisational change
o Risk Management - Identifies external and internal factors that impact risk and mitigation opportunities. Identifies potential new or emerging risks / threats and implements mitigation plans

o Digital Fluency - Effectively uses digital guidance, tools, methodologies, and security measures for operating as a digital business. Uses digital tools to collaborate, organize, plan and reflect on digital data

Logically assesses relationships, grasps interdependencies, and reviews trends wa sophisticatedomplex problem or situation. Challenges assumptions and reliability of acquired information

Job Qualifications
o Bachelor's Degree in Engineering (Preferably Process, Mechanical, Electrical or Instrumentation)
o 3-4 years of work experience in Documents Controls Management in a global organization.
o Deep understanding of records management and the standards to which they are created and how they relate to data and business processes.
o Significant experience in following procedures to operate an Electronic Document Management
o Experience in applying information assurance, governance, analytics and data visualization
o Experience in records management
o Experience in quality assurance and conformance review
o Excellent performance leadership skills
o Experience in customer support and excellent relationship leadership skills
o Knowledge of business analysis business modeling, requirements leadership skills and the ability to find opportunities for continuous improvement.
o Knowledge of document and data management to support portfolios, programmes and projects
