Key Responsibilities
1. Data Entry & Record Management
Perform accurate and timely data entry of administrative, financial, and operational records.
Maintain digital and physical records related to rent, EB bills, property tax, vehicles, fuel, DA, and vendors.
Update spreadsheets, MIS reports, and databases regularly.
Ensure data accuracy, confidentiality, and proper documentation.
Generate reports and summaries as required by management.
2. Rent Follow-up and Reporting to Managing Director
Ensure timely follow-up with tenants for rent payments.
Maintain updated rent collection records and pending details.
Regularly update the Managing Director (MD) on rent status and issues.
3. EB Payment Follow-up and Coordination
Monitor and ensure timely payment of electricity (EB) bills.
Coordinate with the electricity department for discrepancies.
Maintain EB payment and consumption records.
4. Property Tax Payment and Coordination
Ensure timely payment of property taxes.
Coordinate with municipal authorities for assessments and clearances.
Maintain accurate property tax records and deadlines.
Oversee general maintenance and upkeep of offices and godown.
Ensure cleanliness, safety, and smooth functioning of premises.
Address repair and maintenance issues promptly.
6. Team Handling & Supervision
Supervise and coordinate the Admin staffs
Ensure discipline, proper scheduling, and smooth workflow.
Resolve team-related issues effectively.
7. Official Vehicle Maintenance
Ensure all official vehicles are well maintained.
Schedule regular servicing and repairs.
Maintain vehicle-related records and expenses.
8. Fuel Monitoring & Vehicle Logs
Monitor fuel usage and ensure cost control.
Maintain fuel logs and vehicle performance records.
Ensure timely servicing and compliance.
9. Drivers' Daily Allowance (DA) Management
Manage and process drivers' daily allowance as per company policy.
Coordinate with the Accounts team for accurate DA records and payments.
10. Genset, Electronics & Plumbing Coordination
Oversee maintenance of gensets, electronic equipment, and plumbing systems.
Coordinate with technicians and service providers.
Ensure uninterrupted functioning of all systems.
11. Day-to-Day General Administration
Handle routine administrative tasks assigned by management.
Ensure smooth facility and office operations.
Act as a point of contact for administrative issues.
Implement company policies and procedures effectively.
Qualifications & Skills
Knowledge of Administration / Office Management / Facilities Management.
Experience in data entry, record maintenance, and MIS reporting.
Strong knowledge of vendor coordination, compliance, procurement, and budgeting.
Proficient in MS Office (Excel, Word) and reporting tools.
Good communication, coordination, problem-solving, and decision-making skills.
Ability to multitask, work under pressure, and maintain confidentiality.
