Role Overview
The Client Experience & Operations Executive will be the first point of contact for clients and partners, ensuring a smooth, professional, and welcoming experience. This role combines front desk management, client follow-ups, calling, and operational coordination to support business growth and client satisfaction.
Key Responsibilities
Client Interaction & Front Desk
Act as the first point of contact for walk-in clients, calls, emails, and online inquiries
Provide accurate information about programs, sessions, retreats, and services
Maintain a warm, professional, and service-oriented front desk presence
Client Follow-ups & Calling
Follow up with leads, existing clients, and corporate partners via calls, WhatsApp, and email
Schedule sessions, demos, and appointments
Track inquiry status and ensure timely conversion and closure
Customer Relationship Management
Maintain and update client records in CRM or tracking sheets
Handle client queries, feedback, and basic issue resolution
Build long-term relationships to enhance repeat engagement
Operations & Coordination
Coordinate with instructors, trainers, and internal teams for smooth session execution
Support scheduling, confirmations, and attendance tracking
Assist with operational reporting and daily activity logs
Sales & Growth Support
Support basic sales processes including lead management and follow-up
Share program details, pricing, and offers confidently with clients
Upsell or cross-sell relevant wellness services where appropriate
Skills & Qualifications
Excellent verbal and written communication skills
Strong interpersonal and customer-handling skills
Comfortable with calling, follow-ups, and client coordination
Basic knowledge of MS Excel, Google Sheets, and CRM tools
Organized, proactive, and detail-oriented
Experience in wellness, hospitality, healthcare, or service industries is an advantage
