Position: Customer Order Coordination Executive

About the Role

We are looking for a proactive and detail-oriented Customer Order Coordination Executive to manage all customer communication and internal coordination after the sales process is completed. This role fills the gap between Sales, Production, and Dispatch by ensuring customers receive timely updates and that internal teams work efficiently to fulfill orders.

The ideal candidate will maintain strong communication with customers, oversee order progress, and ensure smooth post-sales operations from production follow-ups to final delivery.

Key Responsibilities:



Customer Communication & Follow-Ups Act as the primary point of contact for customers after sales confirmation. Provide regular updates to customers on: Production status Expected completion timelines Dispatch and shipment details Address customer inquiries and concerns promptly and professionally.

Order Coordination

Coordinate with the production team to ensure timely manufacturing of customer orders. Track order progress and proactively resolve any delays or issues. Ensure that all customer requirements and specifications are accurately communicated to production.

Dispatch & Delivery Management



Follow up with logistics/dispatch teams to confirm shipment schedules. Share tracking details and delivery timelines with customers. Ensure all required documentation is prepared for dispatch.

Internal Collaboration



Work closely with sales executives to understand customer expectations. Maintain strong coordination with production, quality, and logistics teams. Ensure smooth handover from sales to operations.

Reporting & Documentation



Maintain records of all customer interactions and order statuses. Prepare and share daily/weekly order progress reports with management. Update relevant systems or CRM tools accurately.

Required Skills & Qualifications



Proven experience in customer service, order management, coordination, or a similar role. Excellent communication and interpersonal skills. Strong organizational and follow-up abilities. Ability to multitask and manage deadlines effectively. Basic understanding of production/manufacturing workflows (preferred). Proficiency in MS Office, email communication, and basic documentation.
