The Custom Documentation Executive will be responsible for the end-to-end processing and management of all import and export documentation. This role ensures timely, accurate, and compliant preparation of all necessary customs and shipping documents to facilitate the smooth flow of international cargo.
Key Responsibilities
1. Import & Export Documentation Management:
Prepare, review, and finalize all pre- and post-shipment documents, including Commercial Invoices, Packing Lists, Bills of Lading (B/L), Delivery Orders (D/O), and Shipping Bills.
Manage the process for filing
Shipping Instructions (SI)
and verifying
Bill of Lading (B/L) drafts
with shipping lines/NVOCCs.
Handle customs-related documentation and ensure all filings are accurate and compliant with Indian Customs regulations (e.g., ICEGATE, E-Sanchit).
Prepare and process documents for specialized shipments, including those under Letter of Credit (LC) terms, ensuring strict adherence to all banking and trade requirements.
2. Coordination & Compliance:
Liaise directly with
Custom House Agents (CHA)
, shipping lines, freight forwarders, and transporters to ensure swift and efficient customs clearance and cargo movement.
Monitor shipment status from port of loading (POL) to final destination (POD) and communicate proactively with clients regarding milestones and any potential delays.
Ensure accurate declaration of goods, including proper
HS Code classification
and adherence to latest EXIM policies (DGFT).
Maintain a systematic and complete physical and electronic filing system for all shipment documents for audit and record-keeping purposes.
3. Communication & Reporting:
Respond promptly to all client, vendor, and internal team inquiries related to documentation and shipment status.
Prepare and update daily/weekly
Shipment Status Reports (DSR/MIS)
for management review.
Resolve documentation discrepancies or issues with customs, banks, or shipping lines in a timely manner.
Qualifications & Skills
Education:
Bachelor's degree in Commerce, Logistics, or a related field.
Experience:
2 to 3 years of mandatory experience in Import/Export Documentation within the
Shipping, Freight Forwarding, or CHA industry.
Technical Skills:
Sound working knowledge of pre- and post-shipment processes.
Familiarity with Customs regulations, Incoterms, and EXIM policies.
Proficiency in MS Office Suite, especially
Excel
, and experience with industry-specific documentation software (e.g., EDI, ODEX, or similar portals).
Core Competencies:
Strong attention to detail, excellent written and verbal communication skills, and proven ability to manage multiple shipments and deadlines simultaneously.
