Key Responsibilities
Travel Management
Manage complete
travel bookings including flights, rail, bus, hotels, and cabs
.
Plan and coordinate
domestic and international travel itineraries
.
Handle urgent
travel requests, changes, and travel-related disruptions
.
Ensure all bookings comply with company travel policies and approval processes.
Visa and Documentation
Process visa applications and manage related documentation for employees and senior executives.
Handle frequent
visas for countries including the UK, Europe, and UAE
.
Coordinate
foreign exchange, travel insurance, and additional travel requirements
.
Vendor and Hotel Management
Maintain strong relationships with
travel agencies, hotels, and service providers
.
Negotiate competitive rates and monitor service quality.
Conduct weekly visits to partner hotels and vendors to resolve any service issues.
Renew annual agreements and maintain updated contract records.
Administrative and Reporting
Manage corporate credit card statements and travel-related payments.
Audit
travel bills, coordinate with Accounts, and ensure timely vendor payments
.
Maintain travel
MIS including booking logs, monthly dashboards
, and year-over-year budget analysis.
Prepare monthly travel reports and identify cost-saving opportunities.
Support HR and Admin in onboarding travel and logistics.
Coordinate travel arrangements for
corporate events, conferences, director meetings, and celebrations
.
Skills and Competencies
Strong communication, negotiation, and interpersonal skills.
Good knowledge of
travel portals, booking engines, and MS Office (Excel, Word, PowerPoint)
.
Ability to multitask and work under pressure.
High level of professionalism, ownership, and attention to detail.
Strong organizational and documentation abilities.
