Job Description

Job Purpose:



To ensure smooth and disciplined operations across facility and administrative services by managing ground staff, maintaining infrastructure, and enforcing protocol-based vigilance. The ideal candidate is a personnel who brings leadership, punctuality, integrity, and operational discipline to the role. Technical knowledge, especially of electricals, will be a major advantage.

Key Responsibilities:



1. Ground Staff Management (Housekeeping, Pantry Boys, Guards, Admin Supervisors):



Enforce discipline and uniform work culture across all admin support staff. Monitor daily attendance and ensure optimal staffing across shifts. Plan and execute training programs for hygiene, etiquette, and service quality. Control and optimize the usage of consumables and building materials.

2. Building Operations & Maintenance:



Oversee daily cleanliness and hygiene of office premises. Supervise company vehicle usage, maintenance schedules, and fuel logbooks. Manage visitor entry processes for security and professionalism. Ensure timely renewal of all statutory and safety NOCs (Fire, AC, Lift, Electrical equipment). Maintain vigilant oversight of security guard performance at all company locations.

3. Technical Awareness (Preferably Electricals):



Support troubleshooting of minor electrical and facility-related issues. Coordinate with external vendors for timely repair and maintenance tasks. Ensure adherence to preventive maintenance schedules for all critical equipment.

4. Team Supervision & Management

: Supervise and coordinate activities of the administrative support team, including administrative assistants, receptionists, and clerks. Provide guidance, training, and support to team members to improve performance and ensure efficiency. Conduct regular performance reviews and provide feedback for staff development. Organize and delegate administrative tasks to ensure deadlines and priorities are met.

5. Office Administration

: Oversee office supplies inventory, office equipment maintenance, and ensure all office facilities are well maintained. Ensure compliance with company policies, procedures, and office safety protocols. Manage the day-to-day operations of office activities, including handling correspondence, filing, and record-keeping. Coordinate internal and external meetings, conferences, and other business events, including arranging logistics and materials.

6. Executive Support

: Provide high-level administrative support to senior management, including scheduling meetings, managing calendars, and organizing travel arrangements. Prepare reports, presentations, and other documents as required by senior leaders. Maintain confidentiality and exercise discretion when dealing with sensitive information.

7. Budget and Resource Management

: Assist in preparing and managing the department's budget, ensuring that administrative expenses stay within allocated limits. Negotiate with vendors and service providers to ensure competitive pricing and timely service delivery.

8. Communication & Coordination

: Act as a liaison between departments to ensure smooth communication and efficient workflow across the organization. Handle internal and external communications, including phone calls, emails, and general inquiries. Collaborate with HR, IT, and other departments to ensure the implementation of company-wide initiatives and policies.

9. Process Improvement

: Identify areas for improvement within administrative processes and workflows and implement solutions to increase efficiency. Implement and oversee office procedures that enhance productivity and employee satisfaction.

Skills & Qualifications:



Education

: Bachelor's degree in Business Administration, Management, or related field (preferred).

Experience

: 3+ years of experience in an administrative or office management role, with at least 1 year in a supervisory capacity. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software. Ability to manage time effectively and prioritize tasks in a fast-paced environment. Strong problem-solving and conflict resolution skills. Ability to maintain confidentiality and handle sensitive information.

Leadership

: Proven ability to lead and motivate a team to achieve goals and improve performance
Job Type: Full-time

Pay: ₹45,000.00 - ₹50,000.00 per month
