to support Australian NDIS operations. This role focuses on rostering, recruitment support, onboarding, documentation management, and daily operational coordination while working closely with the Australia-based leadership team.
Key ResponsibilitiesRostering & Scheduling
Prepare and manage weekly staff rosters
Upload and maintain shifts in scheduling systems (e.g. Vertex360)
Confirm staff availability prior to finalising rosters
Distribute finalised rosters to support workers
Communicate roster updates via approved communication channels (e.g. WhatsApp Business)
Expense & Record Management
Prepare client expense sheets for approval
Submit expense sheets for internal review
Save approved documents in secure record systems (PDF and Excel formats)
Maintain organised and accurate digital records
Recruitment & Onboarding Support
Download and review resumes from recruitment portals
Coordinate initial screening calls
Schedule interviews and send confirmation emails
Follow up with candidates to complete intake forms
Download, verify, and store candidate documentation
Coordinate interview attendance and communication on interview days
Send onboarding packs and document requests to selected candidates
Follow up until all onboarding documentation is complete
Allocate internal staff identification numbers
Save completed onboarding records in secure systems
Staff Management & System Updates
Create and update staff profiles in internal systems
Upload and maintain staff documentation
Send system usage instructions to staff
Follow up for missing, expired, or incomplete documents
Assist with arranging additional staff support when required
Support internal compliance and audit requests by providing accurate documentation
Daily Operations
Monitor internal communication platforms daily
Review record systems for pending tasks and follow-ups
Send daily operational updates and reports as required
Prepare and submit periodic progress reports
Save shift records, case notes, and signed documentation
Manage urgent scheduling or coordination requests
Required Skills & Experience
Strong administrative and coordination experience
Background in
NDIS, disability services, healthcare, or support services
(preferred)
Excellent written and spoken English
High attention to detail and document accuracy
Ability to manage multiple tasks independently
Proficient with:
Microsoft Excel & Word
Online CRMs and portals
Communication tools (e.g. WhatsApp Business, VoIP systems)
