Position Overview:
We are looking for a responsible and proactive
Sales Co-ordinator- Inside Sales
to manage the operations related to
domestic distributors and government tender business
. This position is crucial in ensuring smooth coordination, timely responses, accurate documentation, and effective communication with both public institutions and private distributor networks.
Key Responsibilities:
A. Government Tender Coordination
Identify relevant tenders from platforms like GEM and E-Tender portals.
Study tender requirements (technical, commercial, eligibility) and coordinate document preparation.
Ensure timely submission of bids, including uploading documents, price entries, and compliance checks.
Handle post-tender communication with procurement departments and address any clarifications.
Track the status of submitted tenders, contract awards, and renewal opportunities.
Coordinate for product sample submissions or technical clarifications when required.
Maintain a centralized tracker of active tenders, deadlines, outcomes, and documentation requirements.
B. Distributor Sales Operations (Domestic)
Serve as the primary point of contact for all domestic distributors.
Share quotations, follow up on orders, and provide updates on product availability, delivery timelines, and documentation.
Verify and approve distributor purchase orders, ensuring they match the agreed pricing and terms.
Track dispatch schedules and ensure timely coordination with the logistics and documentation teams.
Maintain and regularly update distributor records including order history, payment terms, and support needs.
Resolve distributor queries, escalations, or complaints with professionalism and urgency.
Support new distributor onboarding and documentation setup.
Collaborate with the accounts team for payment follow-ups and credit term enforcement.
C. Detailed Day-to-Day Activities
Daily Task Planning & Monitoring
Lead the team in morning planning sessions to assign daily responsibilities.
Track completion of follow-ups, quotation submissions, and dispatch communication.
Prepare and ensure to provide the daily dispatch planning for the Domestics distributors.
Quotation & Order Handling
Review and approve quotations before sharing with distributors or institutions.
Validate purchase orders and initiate order processing.
Cross-Department Coordination
Coordinate with Logistics for timely dispatch.
Liaise with Regulatory for certificates (COC, CE, ISO, etc.)
Follow up with the Accounts team for payment clearance before order release.
Customer & Distributor Support
Handle urgent customer or distributor requests by phone or email.
Share tracking details, invoices, and other dispatch-related documents.
Documentation & Reporting
Ensure proper storage and organization of documents: tenders, quotations, POs, invoices.
Share daily and weekly activity reports with the Inside Sales Head.
Support internal audits and compliance processes.
Requirements:
Bachelor's degree in Business, Commerce, or relevant field (Master's preferred).
Minimum 3 to 4 years of experience in inside sales with a focus on domestic B2B distributors and/or government tenders.
Strong working knowledge of GEM and public procurement platforms.
Excellent communication skills in English and Hindi (written and verbal).
Proficiency in MS Office tools (Excel, Word, Outlook).
Highly organized, process-oriented, and deadline-driven.
Strong leadership and coordination abilities.
Job Types: Full-time, Permanent
Pay: ₹550,000.00 - ₹600,000.00 per year
