Job Description

To plan, direct, supervise, and control all examination-related activities of the institution to ensure they are conducted efficiently, transparently, and with the utmost confidentiality, in strict adherence to institutional and statutory regulations (e.g., UGC, AICTE, university statutes).

Key Responsibilities



1. Examination Planning and Scheduling



Academic Calendar:

Collaborating with academic bodies to prepare and publish the detailed examination schedule and academic calendar well in advance.

Logistics:

Arranging for examination venues, seating plans, invigilation duties, and necessary equipment (physical and digital).

Confidential Materials:

Overseeing the confidential preparation, printing, and secure handling of question papers, maintaining secrecy throughout the process.

2. Conduct and Management of Examinations



Supervision:

Directing and having superintending control over the entire examination wing, including examination sections, confidential wing, and records.

Compliance:

Ensuring the conduct of all examinations (internal, external, theory, practical) strictly complies with the rules and regulations.

Malpractice:

Implementing measures to prevent malpractices, plagiarism, and cheating, and initiating disciplinary action against any person found guilty.

3. Evaluation and Result Processing



Coordination:

Arranging for the appointment of question paper setters, examiners, and moderators.

Valuation:

Coordinating the timely and accurate evaluation, grading, and tabulation of answer scripts, which may include managing a centralized or online valuation process.

Result Publication:

Overseeing the compilation, verification, and final approval for the timely declaration and publication of examination results.

4. Post-Examination Activities



Certificates:

Responsible for the preparation, secure storage, and issuance of mark sheets, grade cards, transcripts, diplomas, and degree certificates (including at the Convocation).

Grievance Redressal:

Handling and managing student queries, appeals, grievances related to examinations, revaluation, and verification of marks.

Record Keeping:

Maintaining accurate, secure, and digitized records of all examination documents, results, attendance logs, and answer scripts for future audits and reference.
