We are seeking a highly organized, proactive, and experienced
Office Executive
to manage and coordinate our daily office administration and operational activities. The ideal candidate will be an excellent communicator with strong skills in documentation and vendor management.
Key Responsibilities
Office Operations:
Oversee the smooth running of the office environment, ensuring all supplies, equipment, and facilities are maintained and operational.
Computer Application Management:
Utilize and maintain proficiency in
computer applications
including
MS Word, Excel, PDF tools, and email platforms
for day-to-day administrative tasks and reporting.
Communication & Correspondence:
Handle all internal and external
communication over emails
, drafting professional correspondence, and managing incoming/outgoing mail.
Documentation and Record Keeping:
Maintain accurate and organized digital and physical
documentation
, filing systems, and records crucial for business operations (e.g., invoices, contracts, HR records).
Vendor Management:
Act as the primary point of contact for external service providers (e.g., cleaning, IT support, supplies). Manage contracts, schedules, and relationships to ensure optimal service delivery.
Administrative Support:
Provide high-level administrative support to senior management and various departments as needed.
Required Qualifications & Skills
Minimum of 3 years of proven experience
in an office executive, administrative, or related managerial role.
High proficiency
in essential
computer applications
including Microsoft Word, Excel, and PDF handling.
Exceptional skills in professional
communication over emails
and verbal correspondence.
Demonstrated ability in effective
documentation, filing, and record management
.
Proven skills in
office management
and supervising clerical staff or office assistants (if applicable).
Strong organizational skills and ability to multitask and prioritize work effectively.
