The Computer Operator will be the central point of contact for all digital, administrative, and system operations within the institution. This role requires exceptional proficiency in standard office software, deep familiarity with the school's ERP system, and a forward-thinking approach to leveraging AI tools for enhanced efficiency. The candidate will be responsible for data management, daily technical tasks, administrative support, external communication via social media, and security monitoring.
Key Responsibilities
I. Data & System Management (ERP & Office Tools)
ERP Operations:
Master
the school's Enterprise Resource Planning (ERP) system to manage and execute daily tasks including:
Student admissions/registration and withdrawal processes.
Fee collection data entry, reconciliation, and reporting.
Generating routine reports (e.g., attendance, academic performance, inventory) for management.
Maintaining staff and faculty records accurately.
Data Proficiency:
Utilize
Microsoft Excel
for complex data analysis, report generation (including Pivot Tables and VLOOKUP), auditing data integrity, and creating interactive dashboards.
Document Management:
Prepare, format, and edit official correspondence, circulars, and reports using
Microsoft Word
efficiently.
Backup & Security:
Perform daily data backups of critical school data and assist in maintaining the security and integrity of computer systems, networks, and confidential information.
II. AI & Digital Workflow Enhancement
AI Integration:
Proactively identify and utilize appropriate
Artificial Intelligence (AI) tools
to automate routine administrative tasks (e.g., summarization of documents, generating preliminary content, data classification) to significantly improve operational efficiency.
Troubleshooting:
Provide Tier 1 technical support for faculty and staff on ERP, hardware, software, and network issues.
III. Communication & Security
Social Media Management:
Regularly update and manage the school/college's official
social media
platforms (e.g., Facebook, Instagram, X) with official announcements, events, and engaging content, ensuring consistency with the institution's brand and policies.
CCTV Monitoring:
Conduct routine and critical monitoring of the
CCTV
security system. Log and report any suspicious activities or incidents immediately to the appropriate authority.
Communication:
Handle external and internal inquiries (phone, email) related to IT/System operations and general administrative matters.
Qualifications & Skills
Essential
Education:
Bachelor's degree in Computer Science, Information Technology, or a related field, or equivalent practical experience.
Technical Expertise:
Proven
high proficiency
in MS Excel, MS Word, and a working knowledge of operating systems (Windows/Linux).
ERP Experience:
Minimum 1-2 years of proven experience working with an
Education-focused ERP
or similar large-scale database system.
AI Familiarity:
Demonstrated ability to proficiently use and integrate current
AI-powered tools
for administrative tasks and content generation.
Soft Skills:
Strong problem-solving, analytical, and organizational skills. Excellent written and verbal communication.
Desirable
Prior experience in an educational institution (school or college).
Experience with graphic design tools (e.g., Canva) for social media content creation.
