ROLE OVERVIEW
The Compliance Officer ensures the organization operates within legal and ethical boundaries while achieving business objectives, maintaining comprehensive compliance across labor laws, regulatory requirements, and building safety standards, and developing robust compliance programs to mitigate organizational risks.
KEY RESPONSIBILITIES
Create and execute effective legal compliance programs within the organization
Establish sound internal controls and monitor adherence across all operations
Develop comprehensive compliance frameworks covering labor, regulatory, and building standards
Ensure alignment with local, national, compliance requirements
Policy Development & Management
Draft and revise company policies to align with legal requirements and state specific standards
Develop building-specific compliance policies and procedures
Create standardized compliance documentation and reporting templates
Regularly update policies to reflect changing regulatory landscape
Building Compliance Management
Ensure compliance with building safety regulations, fire safety codes, and occupational health standards
Monitor adherence to building permits, licenses, and statutory approvals
Coordinate building safety audits and inspections with regulatory authorities
Manage compliance for HVAC, electrical, plumbing, and structural safety requirements
Oversee elevator certifications, fire system testing, and emergency evacuation procedures
Ensure compliance with accessibility standards and environmental regulations
Auditing & Risk Assessment
Conduct regular audits of processes, practices, and documents to identify weaknesses
Evaluate business activities and investments to assess compliance risk
Perform building compliance audits including safety systems, permits, and certifications
Assess vendor compliance with building and safety standards
Identify potential compliance gaps and develop remediation plans
Labor Law Compliance
Ensure adherence to labor laws, employment regulations, and workplace safety standards
Submit labor compliance documents with clients for audit purposes
Coordinate with vendors to submit compliance documents monthly as per labor laws
Monitor compliance with wage and hour regulations, leave policies, and employee benefits
Ensure workplace safety compliance including safety training and incident reporting
Collaborate with external auditors, HR, and regulatory bodies when necessary
Training & Education
Educate and train employees on regulations and industry best practices
Documentation & Reporting
Maintain comprehensive compliance documentation and records
Prepare regular compliance reports for management and clients
Track and report on building certifications, licenses, and permit renewals
Document compliance audits, findings, and corrective actions
Ensure audit-ready compliance documentation at all times
Vendor & Stakeholder Management
Coordinate with vendors to ensure compliance document submission
Monitor third-party compliance with contractual and regulatory requirements
Manage relationships with regulatory authorities and inspection agencies
Oversee compliance aspects of vendor selection and performance evaluation
CANDIDATE SPECIFICATION
Essential Qualifications & Experience
Bachelor's degree in Law, Business Administration, Engineering, or related field
Minimum 5-7 years proven experience as Compliance Officer or Compliance Manager
Experience in facilities management
Knowledge of building codes, safety regulations, and construction compliance
Experience with labor law compliance and regulatory submissions
