The Compliance and Document Specialist handles bidding activities, compliance requirements, vendor onboarding, and company documentation. This role supports government, banking, and enterprise clients by ensuring proposals, contracts, and compliance documents are accurate, complete, and submitted on time.
Key Responsibilities Bid Management & Proposal Support
Manage the full bidding process for Tenders, RFPs, and RFIs.
Prepare, submit, and track proposals and follow-ups.
Handle bid submissions and updates on the GeM (India) portal.
Work with sales, pre-sales, and technical teams to prepare proposals.
Assist in creating technical documents such as FSD, DLD, BRD, user manuals, and project closure documents.
Compliance & Risk Management
Support annual and half-yearly risk assessments related to:
HR policies
Business Continuity Plan (BCP) and Disaster Recovery (DR)
Data security and information exchange
Physical and network security
Submit financial, ESG, and compliance surveys required by clients or regulators.
Vendor & Client Onboarding
Manage end-to-end vendor onboarding for banks and clients.
Handle documentation, questionnaires, and portal submissions.
Maintain client and admin portal registrations and updates.
Act as the main contact for onboarding-related queries and follow-ups.
Contract & Agreement Management
Maintain and verify compliance documents related to finance, insurance, IT, and marketing.
Review and coordinate agreements such as:
Documentation & Content Management
Maintain proper document control, versioning, and audit readiness.
Provide MS Word, Excel, and PowerPoint support across teams.
Create proposal decks, product demos, brochures, and presentations.
Design basic marketing materials using tools like Canva.
Required Skills
Experience in managing bids, tenders, RFPs, and RFIs
Basic understanding of IT, BFSI, government, and enterprise compliance
Knowledge of risk assessments, audits, and surveys
Ability to review contracts and manage documentation
Strong written communication and coordination skills
Proficiency in MS Office tools
Experience with the GeM portal is an added advantage
Good attention to detail and time management skills
Preferred Qualifications
Bachelor's degree in Business, IT, Finance, or related fields
Experience in IT services, FinTech, BFSI, or consulting
Exposure to compliance, governance, or information security frameworks
NDA and MSA
License and maintenance agreements
Vendor and supplier agreements
IT outsourcing and reseller contracts
Identify key risks or gaps and follow up with relevant teams.
