To ensure operational excellence through the process of planning, organizing, and controlling various essential aspects of hospital's operations, such as staffing, patient flow, patient safety & satisfaction, resource allocation, and process improvement. Essentially ensuring that the hospital is running smoothly and meeting its objectives.

Key responsibilities :



Operational Excellence:



? Monitoring the daily operations of the hospital, which includes all administrative aspects of OPD, IPD, Critical Care, Casualty, OT and Diagnostics, Medical Insurance, Billing etc.

? Administrative aspects also include activities like patient registration, billing and payment, admissions, managing beds OT scheduling and diagnostics reports delivery.

? Overseeing the Diet department.

? Streamlining the operational procedures of the facility to provide patients with the best care.

? Liaising with departments for smooth running of the hospital.

? Working with doctors to speed up their turnaround times, or sign papers quicker to speed up the discharge process, work with surgeons for optimum utilization of the operation theatre, work with nurses to ensure beds are made ready for the next patient in a shorter time.

? Working in conjunction with Nursing Director, Asst Nursing Director & Nursing Supervisors to ensure that they function as an integral part of the management team and ensure delivery of nursing services in a professional and comprehensive manner and in seamless coordination with allied disciplines.

? Finding innovative ways to optimize the level of healthcare while also reducing the facility's costs.

? Developing strategies to improve operational efficiency and effectiveness of healthcare facilities.

? Facilitating and conducting regular meetings with departments to resolve operational issues.

? Ensuring Dr's visit newly admitted patients within 24 hours in coordination with in-charges

? Coordination for reducing average length of stay.

Patient Safety & Satisfaction:



? Handling and resolving patient complaints and ensuring that best practice is understood and applied, particularly with respect to discipline, grievances, complaints, and absence management, in coordination with the PROs.

? Ensuring the best possible care for patients is championed. Planning, directing, and evaluating all clinical activities within the facility to ensure operational efficiency. To collect significant data and use the data to improve patient care & outcomes. To suggest innovative ways to improve a process and facilities to improve the overall service for patients.

? Ensuring the hospital environment is safe, clean, and free of hazards.

? Developing & recommending new policies for the hospital to improve patient experience and satisfaction.

? Assisting in the monitoring and development of clinical departments, such as effective clinical supervision, mentorship and audits which should include patient feedback forms. Efficiencies in first response, ambulance resources and trend analysis and to promote research activities.

? Coordinating with repair, maintenance, and engineering departments to deliver quality services to patients.

? Coordinating with dietary and cafeteria services to deliver hygienic, clean, and palatable food.

Process Improvement:



? Collecting & analysing relevant data for identifying opportunities for improvement in intra/inter departmental work-flows and processes, which might involve eliminating steps in the process, closing gaps, streamlining communication between departments (quality & frequency), or increasing the use of technology etc. This would include utilisation of tools such as flow charts, data graphs & trendlines, Gannt charts, Pareto analysis etc.

? Working with various teams/units to implement approved recommendations.

? Tracking & monitoring implementation progress and effectiveness, including putting in place timely course corrections.

? Monitoring the performance of facilities and evaluating their compliance with industry standards

Supporting the Senior Management:



? In driving a structural service excellence program in co-ordination with various departments.

? In drafting policies, standard operational protocols for various activities of the Hospital.

? By preparing and maintaining monthly statistics on clinical and diagnostic services and presenting it to the senior management.

? Overseeing the security operations of the hospital. This includes developing security strategies, implementing security procedures and coordinating with security officers.

Competencies required: Knowledge, skills, attitude:



Knowledge

Essential

Knowledge of hospital management and administration.

Knowledge of NABH standards & requirements.

Desirable

Working knowledge of Six Sigma/ Lean Six Sigma, Kaizen

Skills

Essential

Well versed with OR (operations research) for problem solving, decision making.

Data analysis and statistical aptitude. Specifically, skilled in utilization of tools such as flowcharts, Pareto analysis, histograms etc.

Crisis Management

Problem solving and decision-making ability

Proficiency in Microsoft Office

Attitudinal parameters

Excellent interpersonal abilities as evidenced by seamless collaboration with other functions and departments. In particular, should demonstrate the ability to influence peers, colleagues and patients/ relatives for positive outcomes.

Hands-on, leading from the front.

Results orientated with the ability to prioritize, plan and deliver against milestones & timelines.

KEY RESULT AREAS



? Improving the Admission process and reducing the inpatient admission time to less than one hour.

? Maintaining the turnaround time for the discharges as per the hospital's benchmark i.e., 3 hours.

? Reducing patient's waiting time in the OPD to 30 minutes.

? Maintaining the turnaround time for all diagnostic services across the hospital.

? To improve the Patient Satisfaction Index by improving the overall operational efficiency across functions and units.

o Nursing Satisfaction @90% monthly average across wards

o Overall Satisfaction @85% across wards

? Improving patient safety and reducing patient harm/errors.

? Maintaining Bed Occupancy rate of 75%

? Ensure ALOS to around 3 to 5 days by monitoring long stay patients.
