The receptionist is the first point of contact for patients and visitors at the clinic. They are responsible for managing administrative tasks, maintaining patient records, and ensuring a welcoming environment.
Key Responsibilities:
Patient Interaction:
Greet patients and visitors warmly upon arrival and assist them with the check-in process.
Appointment Scheduling:
Schedule, reschedule, and confirm appointments following clinic policies.
Patient Records:
Maintain accurate and confidential patient records, ensuring compliance with privacy regulations.
Billing and Payments:
Collect and process co-pays and payments, and provide receipts.
Administrative Duties:
Answer and route incoming calls, manage incoming and outgoing mail, and handle emails.
Office Management:
Maintain the reception area, manage office supplies, and ensure inventory is stocked.
Patient Support:
Address patient questions and concerns, and escalate issues to the appropriate staff member if needed.
Collaboration:
Communicate effectively with clinic staff regarding patient updates and scheduling.
Qualifications:
High school diploma or equivalent; some college or vocational training preferred.
Prior experience in a receptionist or administrative role, preferably in a medical or clinical environment.
Excellent verbal and written communication skills.
Strong interpersonal skills and the ability to handle sensitive situations with tact and professionalism.
Proficiency in office software, such as Microsoft Office Suite and medical scheduling systems.
Ability to multitask, prioritize, and remain organized in a fast-paced environment.
Knowledge of medical terminology and insurance processes is a plus
