The Clinic Receptionist is the first point of contact for patients entering the clinic. The primary role is to provide a welcoming environment, handle patient inquiries, schedule appointments, and coordinate with Doctors and other teams to ensure smooth daily operations. This position requires excellent customer service skills, attention to detail, and the ability to manage multiple tasks in a fast-paced medical setting.
Key Responsibilities
:
Front Desk Management
:
Greet patients, visitors, and vendors as they enter the clinic, providing a warm and welcoming environment.
Answer and manage phone calls in a courteous and professional manner.
Provide patients with necessary forms, assist in their completion if needed, and ensure accuracy of patient information.
Schedule, confirm, and reschedule patient appointments, keeping the clinic's calendar up to date.
Manage the flow of patients in and out of the clinic, ensuring efficient service delivery.
Coordinate with Doctors, Lab Partners for up to date patient records and smooth operations
Patient Check-In/Check-Out
Collect co-pays, deductibles, and any outstanding balances at the time of service.
Provide patients with receipts, appointment reminders, and any necessary documentation.
Coordinate with medical staff to alert them when patients arrive or if there are scheduling issues.
Administrative Duties
:
Maintain and update patient files, ensuring accurate documentation of patient information
Ensure the waiting area is clean, organized, and comfortable for patients.
Insurance and Billing Assistance
:
Work with the billing department to address any patient inquiries related to billing or account balances.
Customer Service
:
Handle patient complaints or concerns with professionalism and escalate issues to the appropriate supervisor when necessary.
Answer general questions about clinic services, hours of operation, and other relevant details.
Provide patients with clear information about the clinic's policies and procedures.
Qualifications
:
Education
: High school diploma or equivalent. Additional training in medical office administration is a plus.
Experience
:
Previous experience as a receptionist or in a customer service role, preferably in a healthcare setting.
Familiarity with medical terminology and clinic operations is an advantage.
Skills
:
Excellent communication and interpersonal skills to interact with patients, families, and healthcare staff.
Proficiency with office management systems, including scheduling software and electronic health records (EHR).
