Position Overview
The
Documentation Head/Specialist
oversees and manages all import-export documentation processes for CFS/ICD/Logistics operations. The role ensures timely, accurate, and compliant document handling, coordination with Customs, shipping lines, CHAs, and internal teams, while maintaining service quality and regulatory standards.
Key Responsibilities
1. Documentation Management
Oversee end-to-end documentation for import/export cargo including:
BL, DO, IGM, EGM, SB, BOE, Gate Pass, EIR
Carting, stuffing lists, Cargo receipts, Job orders
Ensure timely preparation, verification, and release of documents.
Check documentation accuracy to avoid discrepancies and penalties.
2. Regulatory & Customs Compliance
Ensure compliance with Customs Act, allied acts, and local port regulations.
Coordinate with Customs for examinations, RMS, document amendments, assessment, EDI updates, and audit queries.
Maintain proper record-keeping and ensure readiness for audits.
3. Coordination & Stakeholder Management
Liaise with CHAs, Shipping Lines, Freight Forwarders, Port Authorities, and Transporters for smooth document flow.
Coordinate with yard, operations, billing, and customer service teams for seamless cargo movement.
Handle escalations related to documentation delays or discrepancies.
4. Customer Service & Support
Provide timely document updates to customers and resolve issues related to BOE/SB/DO/BL or other documentation requirements.
Improve TAT for document release and enhance customer satisfaction.
5. Process Improvement & Digitization
Implement best practices in documentation management.
Improve documentation accuracy through checks, verifications, and digitized processes.
Work with IT teams to enhance EDI/ICEGATE integrations (if applicable).
6. Team Leadership (for Head role)
Lead and manage documentation officers/executives.
Provide training on system updates, customs procedures, and documentation requirements.
Conduct periodic performance reviews and audits.
Qualifications & Experience
Graduate in Logistics, Commerce, or related field (PG preferred).
5-15 years
of experience in CFS/ICD/CHA/Shipping Line documentation.
Strong understanding of Customs procedures, ICEGATE/EDI systems, and EXIM operations.
Knowledge of port operations, CFS processes, and regulatory documentation.

Pay: ₹25,000.00 - ₹50,000.00 per month
