The Coordinator is responsible for ensuring smooth day-to-day operations, coordinating between faculty, students, parents, and management, and maintaining high standards of administrative and academic support. The role acts as the backbone of the center, facilitating efficient functioning and enhancing student experience.
Key Responsibilities
1. Operational Management
Oversee daily operations of the coaching center (class scheduling, room allocation, attendance tracking).
Ensure classrooms, labs, and study areas are clean, functional, and equipped with necessary materials (whiteboards, projectors, study material).
Coordinate with housekeeping and maintenance staff for infrastructure upkeep.
2. Student & Parent Coordination
Act as the primary point of contact for students and parents.
Handle inquiries (walk-ins, calls, emails) regarding courses, batches, fees, and faculty.
Arrange orientation sessions for new students and parents.
Address grievances and escalate issues to the Center Head when required.
Send regular updates (via SMS, email, WhatsApp) about class schedules, tests, holidays, and performance.
3. Faculty & Batch Coordination
Prepare and circulate class timetables and exam schedules.
Coordinate with faculty for doubt sessions, extra classes, and substitute arrangements.
Track faculty attendance and ensure timely salary processing (in coordination with HR/accounts).
Collect feedback from students on teaching quality.
4. Admission & Enrollment
Assist in the admission process (form filling, document verification, fee collection).
Update student database (enrollment records, contact details, batch allocation) in ERP.
Follow up with leads and convert inquiries into enrolments.
5. Examination & Assessment Support
Organize internal tests, mock exams, and result compilation.
Coordinate with faculty for paper setting, evaluation, and doubt-clearing sessions post-exams.
6. Administrative Duties
Maintain records of fees, receipts, and pending dues.
Manage inventory of study material, stationery, and promotional items.
Prepare weekly/monthly reports on attendance and test performance.
7. Event & Activity Management
Organize parent-teacher meetings, award ceremonies, motivational sessions, and festivals.
Qualifications & Skills
Education
Bachelor's degree in any discipline (B.Com, B.A., B.Sc. preferred).
Diploma in Office Management or Education Administration is a plus.
Experience
1-3 years of experience in educational institutes, coaching centers, or administrative roles.
Freshers with strong communication and organizational skills may be considered.
Key Skills
Excellent communication (verbal & written) in English and local language.
Strong organizational and multitasking abilities.
Proficiency in MS Office (Excel, Word, PowerPoint) and basic ERP/CRM software.
Problem-solving and conflict resolution skills.
