The Cashier is responsible for managing all cash-related transactions of the school, maintaining accurate financial records, and ensuring effective fee collection as per school policies. The role requires accuracy, integrity, and strong customer-handling skills while interacting with parents, students, and staff.
Key Responsibilities
1. Fee Collection & Receipting
Collect
Tuition Fee, Transport Fee, Mess Fee
, and other applicable charges from parents/students.
Issue
receipts
for all payments received and update the fee management system.
Collect
fines
, late fees, or penalties as per school policy.
Collect fees for
competitive exams
(ASSET, Olympiads, NSTSE), excursions, field trips, events, etc.
2. Financial Records & Reporting
Maintain accurate daily cash records and submit
daily cash reports
to the Finance Department.
Prepare and share
fee defaulters list
with the Principal/Administrator/HR as per the collection cycle.
Assist in reconciling fee collection with the accounts team.
Maintain confidentiality and ensure secure handling of cash.
3. Payments & Vouchers
Make payments for approved school purchases through vouchers.
Ensure proper documentation, approval, and filing of all vouchers.
Maintain petty cash and submit timely statements for reimbursement.
4. Staff-Related Payments
Process payments for teachers providing services in
After School Clubs, Weekend Clubs
, or any additional activities undertaken for the school.
5. Coordination & Communication
Coordinate with the admin, academic team, and office staff for fee-related queries.
Address parent inquiries related to fee structure, due dates, fines, and receipts.
Support the admission office by providing fee details to parents during the admission process.
6. Compliance & Policy Adherence
Ensure all fee collections are done in accordance with school policies and finance protocols.
Maintain records for audit and compliance purposes.
Protect student and parent data and adhere to school confidentiality guidelines.
Skills & Competencies Required
Strong numerical and record-keeping skills
Good communication and interpersonal skills
Proficiency in computer applications (MS Office, fee management software)
High level of integrity, accuracy, and trustworthiness
Ability to work in a fast-paced school environment
Qualification & Experience
Bachelor's Degree in Commerce or related field (preferred)
1-3 years of experience in cash handling or school accounts
Experience in fee management systems will be an added advantage
