Job Description

.

Billing & Invoicing



Generate invoices for: Spare parts sales (counter & workshop). Service jobs. Vehicle sales (if applicable). Ensure correct prices, taxes (GST), and discounts are applied.
2.

Cash & Payment Handling



Collect payments via: Cash Credit/Debit Cards UPI/Online Payments Cheques or bank transfers Issue proper receipts to customers. Return accurate change for cash payments.
3.

Daily Cash Reconciliation



Tally the cash register at end of the day. Reconcile collections with system entries (DMS/ERP). Report any discrepancies immediately to the Accounts Manager.
4.

System Entries



Update payment details in DMS or billing software. Tag payments against correct invoices. Maintain proper records for audit and compliance.
5.

Coordination



Work closely with: Service Advisors (for service billing). Parts Manager (for counter sales). Accounts/Finance team (for deposits & reporting). Handle internal approvals for discounts or write-offs if required.
6.

Customer Service



Handle customer queries regarding billing or payment. Resolve basic issues related to overcharges, discounts, or incorrect items billed. Maintain a polite and professional demeanor at the counter.
7.

Safety & Security



Secure all cash and payment instruments. Ensure safe deposit of daily cash to the bank or authorized person. Avoid unauthorized access to the cash drawer.
