Ayisha's Food Products is seeking a dynamic and highly organized
Business Coordinator
to act as the operational bridge between the sales team and the order processing department. This role involves real-time coordination, tracking, and performance reporting while ensuring distributor compliance and structured communication across field and office teams.
Key Responsibilities:
Sales Team & Order Processing Coordination
Act as the point of contact between the
sales team
and the
order processing
/dispatch team.
Ensure timely order fulfillment by closely coordinating logistics and processing.
Track daily sales activities, calls made, visits done, orders booked, and collections achieved.
Payment & Collection Monitoring
Track outstanding payments from retailers and distributors.
Prepare and circulate
daily collection plans
(route-wise).
Coordinate with sales team to ensure proper follow-up and timely payment recovery.
Sales Team Performance & Reporting
Monitor the daily route plans, field activity, and performance of
TSMs, ASMs
, and
Zonal Managers
.
Maintain and update visit schedules for all sales heads.
Collect, compile, and present structured reports to management every
10 days
(1st, 11th, and 21st of each month).
Ensure
meeting compliance
(online/offline) as per internal policy and record MoM (Minutes of Meeting).
Distributor Onboarding & Agreement Management
Draft standard
distributor agreements
and maintain versions.
Cross-verify new distributor credentials, shop operations, and documentation.
Assess
purchase quality
, payment behavior, and overall suitability of newly onboarded outlets.
Administrative and Miscellaneous Duties
Ensure adherence to SOPs and internal process flows.
Support ad-hoc business analysis and audits as requested by management.
Liaise with other departments (Accounts, Logistics, Marketing) for inter-functional coordination.
Maintain confidentiality and professionalism in all business matters.
Required Skills:
Strong coordination, communication, and multitasking abilities
Excellent command over MS Excel, Word, and reporting tools
Knowledge of FMCG/food distribution operations preferred
Fluency in English, Malayalam and additional languages an added advantage
Well-organized, detail-oriented, and proactive in follow-up
Qualifications & Experience:
Graduate/Post-Graduate in relevant field
Minimum 3-5 years of experience
in sales coordination or administrative support (FMCG preferred)
Prior experience handling sales/distribution coordination will be an added advantage
