Job SummaryTo support the Legal, CoSec (LC) function in providing expert business analyst advice for all IT and non-IT projects to ensure that processes or systems meet the function's vision and strategy.Key ResponsibilitiesStrategy
The role will directly support the portfolio management & change team as part of the LC function, by providing expert business analyst advice on key strategic projects. The job holder will be required to be self-motivated and own key elements of delivery as part of the wider team and work with minimal supervision.Business

  • Work with internal SME's from LC to capture requirements and convert these into project documents for the vendor to work on
  • Prepare process maps (current and future state) and flow diagrams as part of the requirements and act as the first line reviewer of technology and project governance documentation, (ie: Technical design documentation and integration specifications) liaising with the internal teams.
  • Prepare and conduct training materials and workshops for internal users of the system and devise a robust method of supporting ongoing queries and support of ad hoc issues from the BAU operations team.
  • Take the lead on specific meetings within the function, collating information from stakeholders and preparing agenda's, meeting materials and circulating timely minutes and actions.
  • Build up a knowledge base on each project that can be used by the function for training others or for use with system users.
Contribute to the development of the vision and strategy for the function, consistent with the Group's strategic direction and growth aspirations.
  • Assist the Head in maintaining updated plans for the technology strategy across LCS. Assist in maintaining and keeping the LCS technology roadmap up to date.
  • Manage proficiently any governance meetings including, driving a focused agenda, meeting TOR requirements, timely circulation of papers and actions/minutes, and driving actions to completion.
  • Strong collaboration skills, with an ability to build relationships both within a team and external departments/stakeholders.
  • Provide mentorship and guidance to junior business analysts.
Risk Management
  • Have an awareness and understanding of the Enterprise Risk Management Framework in relation to project activities as required, and associated policies and standards.
  • Understands risks and policies/standards relevant to the team and provide support and guidance to the PM & PMO.
Governance
  • Ensure all appropriate governance controls are being followed by LC Process Owners to ensure the function is 100% compliant.
  • Have an awareness and understanding of the regulatory framework in which the Group operates, and the regulatory requirements and expectations relevant to the role.
  • Ensure adherence to all Operational Risk Governance by all stakeholders involved.
Processes
  • To act as a subject matter expert on Legal processes, helping to provide expert advice on user requirements from across the function
  • Provide testing expertise on project and production changes being delivered to the system.
  • Work with PMO & enterprise change management in ensuring team's adherence to the Agile way of working standards. Support the embedding of agile principles within the function.
  • Provide support on enterprise level initiatives and act as the liaison between portfolio management & change team and business to provide requirements and feedback on impacting applications.
  • Perform root cause analysis and recommend appropriate solutions
  • Conduct workshops to understand processes and create current state and future state process maps using MS Visio.
  • Lead and facilitate meetings and workshops with stakeholders and teams from Legal and Technology to gather requirements and provide updates on project progress.
  • Support Legal COO and deliver operational efficiencies through the project
  • Deliver and realise benefits of the new system
Skills and Experience
  • Experience in the area of Business Analysis on IT and Non-IT projects with at least 10 years professional management experience
  • Adept at using MS Visio, Word, Excel, PowerPoint, Sharepoint
  • Minimum of 3 years hands on experience in Agile and / or managing change for Software/ IT Projects / Teams using Agile
  • Proficient in using a variety of agile delivery tools especially Management of backlogs using Azure DevOps
Qualifications
  • Strong Business Analyst experience, with good understanding of Legal environment
  • Licences and Certifications/accreditations: Scrum Master and Product Owner certification from Scrum Alliance, Scrum.org or other associations
  • Strong communication skills in English
  • Strong analytical and problem solving skills
  • Strong attention to detail and ability to manage multiple projects simultaneously
  • Familiarity with working in a cross-cultural setting.
  • Excellent written and interpersonal skills.
  • PMP, PRINCE 2, ITIL (good to have)
  • (Desired) Experience in leading transformation in non-technology functions
  • (Desired) Experience in cultural transformation
  • (Desired) Experience working in in-house legal teams
