Key Responsibilities
1. Project & Workflow Management
Oversee end-to-end project flow -- intake, scoping, timeline creation, task allocation, and delivery.
Maintain a master operations dashboard (Notion/ClickUp/Trello) with accurate statuses.
Ensure all client deadlines are met without compromising output quality.
Coordinate with designers, writers, and freelancers where required.
2. Client Coordination
Serve as the operational point of contact for clients during the project lifecycle.
Schedule review calls, manage feedback loops, and ensure communication is timely and professional.
Gather structured client briefs and translate them into actionable tasks for the creative team.
3. Process Optimization
Build SOPs, templates, checklists, and automations to reduce manual workload.
Identify inefficiencies and propose system improvements monthly.
Standardize naming conventions, file organization, and version control.
4. Quality Control
Conduct first-level reviews of project drafts to ensure adherence to brand standards.
Double-check client instructions, design alignment, and accuracy before founder review.
Maintain a quality log of repeat issues and prevent recurrences.
5. Team Coordination
Manage scheduling, availability, and workload distribution of designers/writers.
Onboard new freelancers with training + SOP packs.
Monitor performance and escalate concerns early.
6. Reporting & Insights
Weekly report on project statuses, workload, bottlenecks, risks, and upcoming capacity.
Track KPIs: Turnaround time, rework rate, delivery accuracy, client satisfaction.
Present a monthly "Operations Health Scorecard."
7. Administrative & Ops Support
Manage invoicing, follow-ups, and project documentation.
Maintain structured project archives for future reference.
Assist founder with operational tasks that enhance business efficiency.
Qualifications
3-6 years of experience in operations or project management (creative/agency background preferred).
Strong communication skills -- crisp, structured, and proactive.
High proficiency with tools: Notion, ClickUp, Trello, Google Workspace, Slack, Canva (basic), and PPT.
