Job Description

Key Responsibilities



1. Operational Management



Oversee day-to-day functioning of the clinic, including reception, client handling, therapy scheduling, and facility upkeep. Ensure smooth coordination between psychologists, psychiatrists, support staff, and front office. Maintain clinic hygiene, ambiance, resource availability, and client-friendly environment. Monitor appointment booking systems, cancellations, follow-ups, and waiting time management.

2. Client Relationship & Service Excellence



Ensure high-quality client experience from entry to exit. Handle escalations, client feedback, complaints, and conflict resolution with empathy and professionalism. Supervise reception and customer care to maintain service etiquette and confidentiality standards.

3. Team Leadership & HR Coordination



Supervise and mentor branch-level staff including psychologists, interns, receptionists, housekeeping, and support team. Conduct regular meetings, performance reviews, and motivation sessions. Ensure discipline, punctuality, and adherence to clinic protocols and ethics. Coordinate with HR for staffing needs, onboarding, attendance, and leave approvals.

4. Business Growth & Outreach



Work with the marketing and sales team to increase client footfall and referral programs. Build and maintain relationships with local doctors, schools, corporates, and community partners to expand reach. Achieve monthly targets related to client registrations, therapy sessions, and service utilization.

5. Administration & Reporting



Maintain data accuracy on ERP/management systems including billing, therapy records, and client documentation. Monitor revenue, petty cash, expenses, and monthly financial reports. Submit daily/weekly/monthly operational reports to the Head Office.

6. Compliance & Ethical Standards



Ensure all professional ethics, confidentiality laws, and protocols related to mental health services are strictly followed. Coordinate for audits, quality checks, and licensing documentation. Ensure all therapists follow proper session documentation and client progress updates.

Required Qualifications & Skills



Bachelor's/Master's degree in Business Administration / Healthcare Management / Psychology or related field. Prior experience in clinic/hospital/medical center management preferred. Strong leadership, communication, and people management skills. Empathy-driven personality with an understanding of the mental health service environment. Proficiency in digital tools, ERP systems, and client management software. Ability to handle pressure, resolve conflicts, and maintain professionalism.
