Job Description

The Billing Executive is responsible for generating accurate invoices, handling customer billing queries, managing payment processing, and ensuring smooth billing operations. The role requires attention to detail, strong communication skills, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities1. Billing & Invoicing



Prepare and generate accurate customer invoices using billing/POS/ERP systems. Verify product details, prices, discounts, and taxes before final billing. Ensure timely processing of bills for customers or dispatch orders.

2. Payment Handling



Process all forms of payments including cash, card, UPI, and online transfers. Maintain cash register accuracy and reconcile end-of-day collections. Issue receipts, credit notes, and refunds as per company policy.

3. Customer Service



Greet customers and support them with billing-related queries. Resolve billing discrepancies or escalate issues when necessary. Provide details on product prices, offers, and GST (if applicable).

4. Documentation & Record Keeping



Maintain daily billing reports and submit to store/finance manager. Record transactions accurately in the system and maintain proper filing. Track credit customers (if applicable) and follow up on pending payments.

5. Coordination



Coordinate with sales staff, storekeepers, and warehouse team to verify product availability and pricing. Work with finance/accounts team on reconciliation and audit requirements.

6. System & Process Compliance



Ensure proper use of billing software, POS systems, barcode scanners, etc. Follow company billing procedures, financial policies, and data confidentiality norms. Regularly update product master data in billing systems (if required).

Required Skills & Qualifications



Graduate / Diploma in Commerce, Business, or relevant field. 1-3 years of experience in billing, cashiering, or accounts support. Knowledge of billing software/POS systems (Tally, ERP, Retail POS, etc.). Good numeric accuracy and attention to detail. Basic understanding of GST, taxes, pricing, and discounts. Excellent communication and customer handling skills.
