Position - E-Way Bill & Documentation Executive (Dispatch Department)
Role Overview
The E-Way Bill & Documentation Executive is responsible for creating and managing all statutory and dispatch-related documents, including E-Way Bills, delivery challans, transport papers, invoices support documentation, and shipment tracking records. The role ensures 100% compliance with GST transport regulations and smooth coordination for dispatch movements.
Key Responsibilities
Create and manage E-Way Bills on the government portal for all material dispatches.
Prepare and issue supporting dispatch documents such as:
Delivery Challan
Packing List
Transporter Copy / LR Copy / Gate Pass
Invoice support documents
Verify material details, quantities, vehicle numbers, customer address, HSN codes & distance before generating documents.
Ensure on-time document preparation to avoid dispatch delays.
Coordinate with Dispatch, Logistics, Transporters & Sales teams.
Maintain daily tracking of dispatch documents & transport record register.
Responsible for reconciliation of dispatched vs. invoiced materials.
Manage filing & documentation (physical and digital).
Support audit activities by providing documentation & compliance records.
Follow statutory rules under GST, E-Way Bill norms, and company SOPs.
Update ERP system with movement details and dispatch completion status.
Basic Requirements
Education: Minimum Graduate (Any stream), preference to B.Com / BBA / Supply Chain graduates.
Experience: 1-3 years in E-Way bill generation, documentation or dispatch operations in manufacturing / logistics / warehousing industry.
Mandatory Skills:
Knowledge of E-Way Bill Portal & Transport regulations
Basic knowledge of GST, HSN / SAC codes and transport distance rules
ERP / Tally / SAP material entry experience
Strong MS Excel & documentation handling
Preferred: Familiarity with LR entry, freight documentation & logistics coordination
