Support account lifecycle activities including account setup, modifications, and closures in line with company procedures.
Handle day-to-day account operations and routine operational tasks under defined guidelines and supervision.
B. Project Planning & Coordination
Assist in developing comprehensive project plans, schedules, and task sequencing.
Prepare micro schedules
for key activities including procurement, installation, testing, and commissioning.
Coordinate project activities among subcontractors, suppliers, internal teams, and field personnel.
Attend and contribute to project kickoff, progress, and coordination meetings.
C. Coordination with Project Engineer (PE)
Work closely with the Project Engineer to ensure alignment between planning and execution.
Support the PE in daily site coordination and technical issue resolution.
Translate engineering updates into actionable tasks for teams and contractors.
D. Project Execution & Client Coordination
Lead end?to?end site execution while ensuring compliance with drawings, quality standards, safety protocols, and schedule expectations.
Independently handle escalations related to manpower, materials, design clarifications, deviations, and quantity discrepancies, ensuring minimal impact on progress.
Communicate proactively with clients regarding site issues, secure approvals for deviations, and maintain strong client confidence while safeguarding company interests.
Coordinate effectively with external stakeholders -- vendors, subcontractors, consultants, and client engineers -- ensuring alignment with project requirements.
E. Monitoring & Reporting
Monitor HVAC technicians and field teams to ensure work is performed according to plans and quality standards.
Drive daily coordination with labour supervisors, foremen, and technicians to ensure uninterrupted execution.
Prepare deviation reports
on a daily, weekly, and monthly basis, identifying gaps between planned and actual progress, with root?cause analysis and corrective action proposals.
Conduct internal site audits, raise Work Inspection Reports (WIRs)/Material Inspection Reports (MIRs), and ensure compliance with specifications.
F. Documentation & Quality Control
Manage project documentation including RFIs, submittals, change orders, meeting minutes, site reports, and correspondence.
Maintain high standards of documentation discipline with accurate records and timely reporting.
Participate in reviewing and verifying quantities for accurate billing support and invoicing.
G. Leadership, Process Improvement & Internal Coordination
Conduct project kickoff meetings, align team members, and outline execution strategies.
Identify bottlenecks (operational, technical, manpower) and drive quick, practical resolutions.
Ensure thorough documentation of deviations, including WA, email trails, photos, impact assessments, and updated mitigation plans.
Present innovations, process improvements, vendor/sub?contractor additions, and project learnings in weekly review meetings.
Liaise with internal departments (Design, Planning, Purchase, Accounts, Service, Labour Management) for seamless project execution.
Guide and support peer teams, demonstrating ownership in cross?functional coordination.
Strengthen technical competency in HVAC design principles, ducting standards, heat load calculations, equipment selection, and best installation practices.
