Role Overview
The Vendor Coordinator will be responsible for
identifying, onboarding, and coordinating
with
Outdoor Advertising (OOH - Out-of-Home)
vendors such as hoarding owners, printers, fabricators, installers, and media partners. The role ensures
vendor assurance, process consistency, and faster campaign execution.
The role is primarily office-based with gradual training provided on product understanding, inquiry qualification, and demo coordination to build long-term capability.
Key Responsibilities
Identify and source new OOH vendors through:
Local market visits and field surveys* Existing OOH sites and media locations* Vendor references, industry contacts, and databases* Advertising agencies, printers, and fabricators* Initiate first-level discussions to understand vendor capabilities and inventory* Coordinate vendor onboarding including:
KYC and business documents* Location details, site photos, and specifications* Rate cards and basic commercial details* Ensure onboarding follows approved SOPs and governance checklists
Maintain vendor master data, site inventory, and onboarding trackers
Coordinate with internal teams for vendor approval and activation
Track vendor timelines, installation schedules, and deliverables
Support site visits, execution monitoring, and post-installation checks
Escalate delays, quality issues, or deviations as per escalation matrix
Assist in periodic vendor reviews and performance reporting
Key Skills & Competencies
Strong communication and coordination skills
Comfort with fieldwork and local travel
Basic understanding of OOH advertising formats (training will be provided)
Working knowledge of MS Excel and documentation handling
Strong follow-up skills and attention to detail
Ability to work under tight timelines and multiple campaigns
Educational Qualification
Graduate in any discipline (Media, Marketing, Business preferred)
Freshers with internships or exposure to OOH / advertising agencies are encourage
