Job Description

We are seeking a meticulous, organized, and proactive Back Office Support Executive to be the operational backbone of our office. This role is crucial for ensuring seamless administrative, logistical, and documentation processes, enabling our technical and commercial teams to focus on core business activities. The ideal candidate will be a team player with strong attention to detail and a passion for supporting business efficiency.

Key Responsibilities:



Documentation & Data Management:

Prepare, verify, and process invoices, purchase orders, delivery notes, and other commercial documents. Maintain accurate and up-to-date records in both digital and physical filing systems. Assist in generating routine reports and data compilation for management review. Handle confidential company and customer information with discretion.

Logistics & Coordination Support:

Coordinate with logistics partners for inbound and outbound shipments. Track orders and maintain communication with suppliers and internal departments regarding dispatch and delivery status. Support inventory management of office and pantry supplies.

Administrative Support:

Manage front desk activities, including greeting visitors and handling incoming calls. Assist in scheduling meetings, booking travel, and preparing meeting materials. Support HR with onboarding documentation for new joiners. Ensure the office environment is well-maintained and operational.

Internal Communication & Compliance:

Act as a liaison between different departments for smooth workflow. Ensure adherence to company policies and standard operating procedures (SOPs). Assist in implementing and maintaining quality and safety documentation as required.

Qualifications & Skills:



Education:

Bachelor's degree in Business Administration, Commerce, or a related field.

Experience:

1-3 years of experience in a back-office, administrative, or documentation role. Experience in manufacturing, FMCG, or ingredients industry is a plus.

Technical Skills:

Proficiency in MS Office (Excel, Word, PowerPoint) is essential. Familiarity with ERP software (e.g., SAP) or document management systems is highly desirable.

Soft Skills:

Excellent written and verbal communication skills in English and the local language. Exceptional organizational and time-management abilities. High level of accuracy and attention to detail. Strong problem-solving skills and a proactive "can-do" attitude. Ability to work independently and as part of a team in a fast-paced environment.
