We are seeking a highly organized and detail-oriented
Back Office Operations Executive
(Female) to join our dynamic team. The ideal candidate should have a proven track record of handling administrative tasks, supporting daily operations, and ensuring the smooth functioning of business processes.
Key Responsibilities
:
Data Entry & Management
: Accurate data entry, database management, and ensuring information is up-to-date.
Documentation & Filing
: Organize and maintain physical and electronic files for easy retrieval. Prepare and process company documents as required.
Communication
: Handling internal and external correspondence through emails and phone calls, ensuring timely responses.
Reporting
: Preparing regular operational reports, tracking performance metrics, and assisting with financial and inventory reports.
Customer Support
: Coordinate with customer-facing teams, providing necessary back-end support for client queries, order processing, or complaint management.
Process Improvement
: Identify and suggest process improvements to streamline operations and increase efficiency.
Team Coordination
: Collaborate with other departments to ensure smooth business operations, resolving any internal issues promptly.
Inventory Management
: Oversee inventory records, assist in stock control, and prepare purchase orders when necessary.
Assist in Recruitment/HR Tasks
: Support HR in maintaining employee records, assisting with onboarding, and other related tasks as needed.
Qualifications & Skills
:
Minimum Experience
: 2 years in a back office or administrative role.
Education
: Graduation in any field (preferably Commerce or Administration).
Technical Skills
: Proficient in MS Office Suite (Excel, Word, PowerPoint), and experience with CRM or ERP software is a plus.
Communication Skills
: Good written and verbal communication skills, with the ability to interact with team members and external stakeholders professionally.
Attention to Detail
: Strong focus on accuracy and attention to detail.
Time Management
: Ability to prioritize tasks effectively and work under pressure to meet deadlines.
