The Real Estate Back Office Executive supports the daily administrative operations of the real estate business, ensuring smooth coordination between clients, agents, and vendors. This role involves handling documentation, data management, customer follow-ups, and supporting the front office/sales team with all necessary backend processes.
Key Responsibilities:
Prepare and maintain property documents, agreements, and legal paperwork.
Manage property listings on online portals and company databases.
Handle client inquiries and follow-ups via email and phone on behalf of agents.
Maintain organised records of customer interactions, deals, and documentation.
Coordinate with internal teams to support property transactions and closings.
Update CRM systems with client and property data.
Schedule appointments, property visits, and maintain agent calendars.
Track payments, commissions, and generate basic financial reports.
Assist in preparing marketing material, brochures, and presentation documents.
Ensure compliance with RERA or other regulatory requirements, if applicable.
Support HR and Admin functions (attendance, filing, procurement) when required.
Qualifications:
1-3 years of experience in a real estate office.
Proficient in MS Office (Word, Excel), Google Workspace, and CRM tools.
Knowledge of real estate terminology and documentation is preferred.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Attention to detail and ability to maintain confidentiality.
Preferred Skills:
Basic accounting knowledge for handling commissions and invoices.
Familiarity with RERA or local real estate regulations.
