The Back Office Operations Executive will be responsible for managing internal operations, documentation, coordination between sales, vendors, and service teams, and ensuring smooth day-to-day administrative functioning. The role is critical in supporting sales execution, order processing, and customer service.
Key Responsibilities
1. Operations & Coordination Coordinate between sales team, site team, vendors, and service partners Track order status, deliveries, and installations
Follow up with vendors and service staff for timely execution
2. Documentation & Records Prepare and maintain quotations, purchase orders, work orders, and invoices
Maintain customer records, order files, and payment details Ensure all documents are properly filed (physical & digital)
3. CRM & Software Management Update customer details, order status, and follow-ups in CRM / Asana / Excel Maintain task status and internal trackers Generate basic MIS reports for management 4. Billing & Payments Support Assist in invoice generation and payment tracking Coordinate with accounts for pending payments and reconciliations Share payment reminders with customers when required 5. Customer Support (Non-sales) Handle customer queries related to order status, delivery timelines, and service coordination Escalate issues to concerned departments for quick resolution
Skills & Requirements Educational Qualification Graduate / Diploma in any discipline
Experience
Proficient in MS Excel Office - Excel working is mandatory with formulas
1-3 years of experience in back office / operations / admin role Experience in interiors, real estate, retail, or service industry preferred Skills Good knowledge of MS Excel, Word, and email communication Basic understanding of billing, documentation, and order processing Strong coordination and follow-up skills Good written and verbal communication (Hindi & English) Organized, detail-oriented, and process-driven Preferred Traits Ability to handle multiple tasks Problem-solving mindset Team player with a responsible attitude Comfortable working with deadlines
